Administrative Assistant Position Summary The Administrative Assistant provides administrative, payroll support, and clerical assistance to management while serving as a professional point of contact for employees, applicants, clients, and external agencies. This position is responsible for assisting in verifying employee timekeeping records, assisting with financial tracking and ledger maintenance, maintaining accurate records, and ensuring efficient day-to-day office operations. Essential Duties and Responsibilities Review, verify, and reconcile employee time clock punches for accuracy and completeness. Identify and resolve missing punches, attendance discrepancies, and timekeeping errors. Communicate with employees and supervisors regarding timecard corrections and approvals. Maintain confidentiality of employee payroll and personnel information. Financial and Accounting Support Assist with maintaining financial ledgers and accounting records. Verify financial transactions accurately and timely. Assist with reconciliations, invoices, and receipts. Maintain organized financial records in accordance with company policies. Administrative Support Provide administrative assistance to managers. Prepare correspondence, reports, forms, and other business documents. Maintain electronic and paper filing systems. Monitor office supplies and coordinate purchasing as needed. Assist with special projects and operational initiatives. Employee and Applicant Support Serve as a professional resource for current employees regarding administrative and payroll-related questions. Assist with onboarding paperwork and applicant processing. Support employee communication and recordkeeping processes. Agency and External Relations Communicate professionally with regulatory agencies, vendors, service providers, and community partners. Assist with preparation and submission of required reports and documentation. Respond to requests for information while maintaining confidentiality standards. Support compliance and audit activities as needed. Qualifications Education and Experience High school diploma or equivalent required. Minimum of two years of administrative or office support experience preferred. Knowledge, Skills, and Abilities Strong attention to detail and accuracy. Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook. Ability to maintain confidential information. Excellent organizational and time management skills. Strong verbal and written communication abilities. Ability to prioritize multiple tasks and meet deadlines. Professional customer service skills when interacting with employees, applicants, and outside agencies. Ability to work independently while supporting a team environment. Work Environment Regular interaction with employees, management, applicants, and external agencies. Standard business hours with occasional flexibility required to meet operational needs. This position performs all other duties as assigned to support organizational operations and business objectives. Requirement and Skills Proven work experience as a Receptionist, Front Office Representative or similar role Proficiency in Microsoft Office Hands-on experience with office equipment(e.g. copy machine, fax machine) Solid written and verbal communication skills Ability to be resourceful and proactive when issues arise Excellent organizational skills Multitasking and time management skills, with the ability to prioritize tasks Customer service attitude Clean driving record with a minimum of 4 years driving experience
