POSITION 1
OFFICE
RECEPTIONIST
The Office Receptionist is one of the first points of contact for current and potential clients. This position focuses on front desk operations, incoming calls, appointment scheduling, initial client inquiries, and administrative support.
Responsibilities:
Welcome clients and visitors and provide a warm, professional experience. Manage front desk operations and maintain a clean and welcoming reception area. Answer incoming calls and direct inquiries to the appropriate team. Respond to initial inquiries from current and potential clients. Ask appropriate questions to understand client needs and connect them with the correct internal team. Collect accurate information and support the initial client intake process. Schedule appointments and coordinate timely follow-up. Scan, file, and enter information accurately into internal systems. Maintain organized records and protect confidential client information. Collaborate with team members to ensure client needs are addressed promptly.
POSITION 2
CLIENT
SERVICES CLERK
The Client Services Clerk works primarily with current clients who visit the office. This position focuses on receiving documents, preparing files, processing payments, and supporting daily office operations.
Responsibilities :
Meet with clients and assist them with their in-office needs. Receive, document, and organize client document drop-offs. Prepare and organize files and documents for client pickup. Process cash and card payments accurately. Prepare, scan, file, and organize documents using Microsoft Office and Adobe Acrobat. Maintain accurate records and protect confidential client information. Ensure client requests are completed accurately and on time. Monitor office inventory and maintain necessary supplies. Keep the front office clean, organized, and welcoming. Help identify and resolve routine client service and office-related issues. Collaborate with team members to support smooth daily office operations.
REQUIREMENTS FOR BOTH POSITIONS
High school diploma or GED. Fluent in English and Spanish, both written and spoken. Strong customer service and interpersonal skills. Clear, confident, and respectful communication. Strong attention to detail and organizational skills. Working knowledge of Microsoft Office and digital workplace tools. Ability to learn and use internal systems. Ability to multitask and remain focused in a fast-paced environment. Ability to handle sensitive information with confidentiality. Reliable, accountable, and comfortable working as part of a team. Availability to work on-site Monday through Friday from 8:00 AM to 5:00 PM.
ADDITIONAL CLIENT SERVICES CLERK REQUIREMENTS
Proficiency with Adobe Acrobat. Valid driver's license.
PREFERRED EXPERIENCE
At least one year of customer service, reception, or other client-facing experience. At least one year of experience using Microsoft Office. Previous experience in an office, professional services, or legal environment is helpful but not required.
