Job Description

Job Summary We are seeking a dynamic and organized Front Office Coordinator to be the welcoming face and efficient hub of our Humane Society. This vital role involves front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The ideal candidate will be proactive, detail-oriented, and possess strong office management skills to create a positive experience for visitors, clients, and team members alike. Duties Greet visitors, clients, and vendors with professionalism and warmth, establishing a positive first impression Answer multi-line phone systems promptly and courteously, directing calls efficiently to appropriate departments or personnel Manage adoption appointment scheduling and calendar coordination Handle incoming and outgoing correspondence, including emails, mailings, and deliveries Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents Support data entry tasks using Microsoft Office, ,and other office software to keep records accurate and up-to-date Provide customer support through excellent phone etiquette and personalized assistance to visitors or callers Assist with office management tasks including organizing meetings, managing office equipment, and overseeing general administrative workflows Requirements Proven experience in office management or administrative support roles with strong clerical skills Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools Familiarity with multi-line phone systems and professional phone etiquette Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Previous experience as a receptionist or personal assistant is advantageous Exceptional attention to detail for proofreading documents and managing schedules accurately Ability to handle confidential information discreetly while maintaining professionalism at all times Demonstrated time management skills to prioritize tasks effectively throughout the workday Ability to lift up to 50lbs (we get big bags of donated food...and sometimes big puppers).
