This role is pivotal in creating a welcoming environment for our clients and visitors while ensuring the smooth operation of our front office. The ideal candidate will possess excellent communication skills, a strong customer service orientation, and proficiency in various office management tasks. Duties Greet and assist clients and visitors in a professional and courteous manner. Manage multi-line phone systems, directing calls appropriately and taking messages when necessary. Perform data entry tasks, maintaining accurate records of client information and appointments. Handle filing, proofreading documents, and managing correspondence to ensure efficient office operations. Utilize QuickBooks for basic bookkeeping tasks as needed. Maintain an organized front desk area, ensuring all supplies are stocked and the space is presentable. Assist with calendar management for appointments and meetings, coordinating schedules effectively. Provide customer support by addressing inquiries and resolving issues promptly. Collaborate with team members to enhance office efficiency and improve client experiences. Qualifications Previous experience in a front desk or receptionist role is preferred. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Strong computer skills with the ability to learn new software quickly; familiarity with QuickBooks is a plus. Excellent organizational skills with the ability to manage multiple tasks simultaneously. Bilingual candidates are highly desirable to better serve our diverse clientele. Strong typing skills with attention to detail for accurate data entry and documentation. Demonstrated clerical experience with an understanding of office management procedures. Exceptional phone etiquette and customer service skills to create a positive first impression. Time management abilities to prioritize tasks effectively in a fast-paced environment. Experience as a dental or medical receptionist is advantageous but not required. Personal assistant experience will also be considered relevant.
