Responsibilities Greet visitors and clients warmly, ensuring a positive first impression for everyone entering the office Handle multi-line phone systems with professionalism, directing calls accurately and courteously Manage appointment scheduling and calendar coordination using digital tools such as Google Workspace or Microsoft Office Perform data entry tasks with precision, maintaining accurate records in spreadsheets and databases like QuickBooks or other bookkeeping software Support office management duties including filing, document proofreading, and organizing supplies to enhance workplace efficiency Assist with client communication via phone, email, or in person, providing excellent customer support and support services Maintain a tidy front desk area and ensure all administrative materials are organized and accessible Requirements Proven experience in office administration or clerical roles with strong organizational skills Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and productivity software Familiarity with multi-line phone systems and phone etiquette to handle high-volume calls effectively Bilingual abilities are highly desirable to serve diverse client needs effectively Strong data entry skills along with attention to detail for proofreading and document accuracy Previous experience as a receptionist in medical or dental offices is a plus but not required Ability to manage time efficiently, prioritize tasks, and maintain professionalism under pressure Personal assistant experience or office management background is advantageous for success in this role Join us in creating a welcoming environment where professionalism meets efficiency!
