Job Description
Kanawha City Veterinary Hospital is seeking a reliable, detail-oriented Receptionist to support daily clinic operations and deliver a high standard of client service. This role is central to the efficiency of the clinic and the overall client experience. This is a structured, fast-paced environment where accuracy, accountability, and professionalism are expected. Position Overview The Receptionist serves as the first point of contact for clients and is responsible for managing front desk operations, coordinating appointments, maintaining records, and ensuring smooth communication between clients and medical staff. Key Responsibilities Client Communication Answer phones professionally and route calls appropriately Respond to messages, emails, and client inquiries in a timely manner Communicate clearly with clients regarding services, procedures, and expectations Scheduling and Coordinatio Schedule appointments, surgical procedures, and boarding reservations accurately Document the reason for visit and assign appropriate appointment types Confirm appointments daily and manage missed appointments, including enforcing prepayment requirements after repeated no-shows Patient Records and Documentation Maintain accurate and up-to-date client and patient records Request and track medical records from outside providers Document all client communications within patient charts Check-In and Check-Out Verify and update client contact information at each visit Coordinate patient flow with technicians and veterinarians Process payments, invoices, and prescription pick-ups accurately Ensure all services and products are properly recorded and billed Operational Support Prepare forms and documentation for upcoming appointments Monitor and restock front desk inventory Maintain a clean, organized reception area End-of-Day Duties Reconcile the cash drawer and daily transactions Batch credit card payments and prepare deposits Identify and correct discrepancies promptly Qualifications High school diploma required Prior veterinary or medical office experience preferred Strong communication and interpersonal skills High attention to detail and ability to multitask Ability to maintain confidentiality and professionalism at all times Work Environment Fast-paced veterinary clinic setting Frequent standing, walking, and interaction with animals Exposure to moderate noise levels and medical environments Expectations Kanawha City Veterinary Hospital maintains strict standards for attendance, punctuality, and performance.
