Position Summary The Receptionist / Administrative Assistant is responsible for supporting the day-to-day administrative operations of the office while providing exceptional customer service. This role serves as the first point of contact for customers, vendors, and visitors and helps maintain an organized, professional, and welcoming environment. The ideal candidate is friendly, dependable, organized, and comfortable multitasking in a fast-paced office setting. Essential FunctionsReception & Customer Service Answer and direct incoming phone calls in a professional and friendly manner. Greet customers, vendors, and visitors entering the showroom and office. Respond to general customer inquiries and route messages to the appropriate team members. Assist customers with scheduling appointments, showroom visits, and meetings. Provide general updates and communication support for ongoing projects. Administrative Support Maintain organized digital and physical filing systems. Assist with preparing and sending proposals, invoices, contracts, and other office documents. Support management with scheduling meetings, coordinating calendars, and tracking appointments. Perform data entry and maintain accurate customer and project records. Assist with mail distribution, scanning, copying, and general office organization. Maintain office supplies and assist with ordering materials as needed. Office Operations Help maintain a clean, organized, and professional showroom and workspace. Provide consistent phone and showroom coverage during business hours. Support team communication and coordination between office staff, designers, and installers. Assist with basic bookkeeping tasks such as organizing receipts, entering invoices, and tracking payments. Help maintain company records, insurance documents, and vendor information. Property Management Support Assist with responding to tenant inquiries and scheduling maintenance requests. Help organize lease paperwork, tenant files, and property documentation. Support rental advertising and appointment scheduling for available units. Maintain communication with tenants regarding appointments and maintenance updates. Additional Responsibilities Learn and utilize company software programs including Microsoft Office, CRM systems, QuickBooks, and Sage. Assist with onboarding paperwork and administrative HR support as needed. Perform general clerical and organizational duties assigned by management. Skills & Attributes Strong customer service and communication skills. Excellent organizational and multitasking abilities. Professional phone etiquette and interpersonal skills. Comfortable working independently and as part of a team. Detail-oriented with strong follow-through skills. Positive attitude and willingness to learn. Proficiency with Microsoft Office and general computer skills. Experience with QuickBooks or CRM software is a plus. Qualifications High school diploma or equivalent required. Associate degree or related administrative experience preferred. 1-3 years of receptionist, administrative assistant, or office support experience preferred. Experience in construction, remodeling, or home improvement industries is a plus.
