Job Summary We are seeking a dynamic and highly organized Phone Operator to serve as the frontline communicator within our organization. In this vital role, you will manage a multi-line phone system, handle incoming and outgoing calls with professionalism, and ensure seamless communication across departments. Your energetic approach and exceptional communication skills will help create a positive experience for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your administrative and customer service skills while supporting our daily operations. Responsibilities Manage multiple phone lines using advanced telephone systems and operator switchboards to direct calls efficiently and accurately. Greet visitors warmly, verify their purpose of visit, and direct them appropriately, maintaining excellent phone etiquette at all times. Handle all incoming calls with professionalism, providing clear information or transferring calls to the correct department or personnel. Perform data entry tasks related to call logs, visitor records, and other administrative documentation using Microsoft Office tools. Support front desk operations by managing office phone management systems, dispatching messages, and coordinating appointments or meetings. Maintain detailed records of call activity, messages received, and other clerical data to ensure accurate communication flow. Assist with basic clerical tasks such as typing correspondence, organizing files, and supporting office administrative functions as needed. Requirements Proven experience in a clerical or administrative role with a focus on phone call management or front desk duties. Strong communication skills in English; multilingual or bilingual abilities are highly desirable to serve diverse callers effectively. Familiarity with office technology including Microsoft Office Suite (Word, Excel), telephone systems, multi-line phone systems, and data entry tools. Knowledge of telephone etiquette, telephony procedures, and operator switchboard operation to handle calls professionally. Ability to manage high call volumes efficiently while maintaining accuracy and courtesy. Excellent organizational skills with attention to detail for record keeping and documentation tasks. Previous experience in customer service or medical terminology is a plus but not required; a positive attitude and eagerness to learn are essential.
