Summary Title Processor I is responsible for the accurate, timely, and compliant processing of vehicle titles, registrations, plates, and temporary tags for sales transactions. This role supports regulatory compliance, audit readiness, and customer delivery timelines by ensuring proper documentation and adherence to state and federal requirements. Essential Duties and Responsibilities Title & Registration Processing Process vehicle titles, registrations, plates, mock-ups, duplicate title, and temporary tags for sales transactions Review MSOs, titles, lien documents, and supporting paperwork for accuracy and completeness Prepare and submit legal transfer documents to state DMVs, Bank Institute, and/or customer Conduct routine DMV interactions, including submissions, follow-ups, and issue resolution Scan, track, and maintain title and registration records in internal systems Research and resolve missing, incorrect, or delayed titles and registrations Compliance & Documentation Ensure compliance with state, federal, and internal title and registration requirements Maintain accurate title files, logs, and tracking records Adhere to department SOPs and compliance standards Escalate compliance concerns or documentation risks to management Audits, Reporting & Controls Support internal and external audits, including flooring, DMV, and compliance audits Maintain MSO documentation and supporting title records Assist with preparation of audit documentation and reporting requests Ensure accurate completion of required logs and reports Verify payment information and/or vehicle delivery status Communication & Cross-Functional Support Serve as a point of contact for Sales, Finance, Operations, and Compliance teams Provide status updates related to title and registration processing Coordinate with DMVs, lienholders, and third-party vendors Provide cross-coverage support to Rental or Fleet Title Operations as business needs require Process Improvement & Support Follow established SOPs and workflow standards Identify opportunities to improve accuracy and turnaround times Participate in training and development activities Perform additional duties as assigned Required Skills and Qualifications Required Qualifications High school diploma or GED required Demonstrated experience in vehicle titling, registration, or administrative processing Working knowledge of DMV processes and vehicle documentation Strong attention to detail and organizational skills Proficiency with Microsoft Excel, Word, and internal tracking systems Strong written and verbal communication skills Ability to manage multiple priorities in a deadline-driven environment Preferred Qualifications 1-2 years of experience in sales title processing or vehicle registration Experience supporting audits or compliance reviews Familiarity with multi-state titling and registration processes Skills & Competencies High level of accuracy and attention to detail Strong problem-solving and follow-through Ability to work independently after training Coachable and receptive to feedback Effective cross-functional communication Ability to interpret written, verbal, and procedural instructions Physical Requirements Must be able to lift and carry up to 15 pounds. Must be able to safely climb and descend stairs and ladders as required to perform job duties. Must be able to move throughout the facility, including accessing areas that may require stairs or ladders. Work Environment & Expectations This role operates in a fast-paced, high-accountability environment with clearly defined standards for accuracy, timeliness, and compliance. Training and documentation are provided; however, employees are expected to take detailed notes, follow SOPs, and work toward independent performance within a reasonable learning period.
