Job Description

Title Assistant The Title Assistant position is based in the Spearfish office and provides administrative and production support to the Title Department for both the Spearfish and Rapid City offices. This position is responsible for accurate and timely order entry, indexing of title-related documents, scanning and maintaining title files, document review, and other duties that support the Title Examiners and overall Title Department workflow. The Title Assistant also serves as a backup to the Front Desk and provides support with phones, walk-in customers, courier runs, and opening and closing the office as needed. The successful candidate will be highly organized, detail-oriented, dependable, and able to manage multiple priorities while maintaining accuracy and confidentiality. Essential Duties and Responsibilities Title Department Support Enter new title orders accurately and timely into the title production system. Assist with maintaining accurate and up-to-date title order information for both offices. Index judgments and daily recorded documents, and other documents into the title software program. Scan title documents and maintain organized electronic title files. Review legal documents prior to recording. Identify missing information, discrepancies, or documents that may require additional review and bring them to the attention of the appropriate staff member or supervisor. Assist Title Examiners with document retrieval, file preparation, and other title-related tasks. Assist with general Title Department projects and workflow for both the Spearfish and Rapid City offices. Maintain confidentiality of customer, transaction, and company information. Follow established company procedures and Title Department standards. Front Desk/Office Support
  • Serve as the backup to the Front Desk and provide coverage during breaks, lunches, vacations, and other absences.
  • Answer phones, greet visitors, and assist customers in a professional and courteous manner.
  • Complete local courier runs, deliveries, and pickups as needed.
  • Assist with opening and closing the Spearfish office as needed.
  • Support general office operations and other duties as needed. Knowledge, Skills, and Abilities
  • Strong attention to detail, accuracy, organization, and time management.
  • Ability to prioritize and manage multiple tasks effectively.
  • Proficient computer and data-entry skills, with the ability to learn new software and systems.
  • Strong written, verbal, and customer-service skills.
  • Ability to identify discrepancies or missing information and communicate them appropriately.
  • Able to work independently and as part of a team while collaborating effectively with staff across both office locations.
  • Dependable, accountable, and able to maintain confidentiality.
  • Willingness to learn the title insurance industry and develop additional title-related skills.
Education and Experience High school diploma or equivalent required. Previous office, administrative, customer service, real estate, banking, legal, or title insurance experience preferred. Previous experience working with computer databases, document management systems, or public records is beneficial.
  • Previous title insurance experience is not required; training will be provided.
  • Experienced title examiners are encouraged to apply.
Position Expectations Because this position supports the Title Departments in both the Spearfish and Rapid City offices, effective communication, organization, teamwork, and attention to detail are essential. The Title Assistant is responsible for maintaining accuracy and timeliness when entering, indexing, scanning, and reviewing documents. The position requires an understanding of the importance of accurate and timely information to Title Examiners and the overall real estate transaction. The Title Assistant will work within the scope of their training and responsibilities and refer questions, discrepancies, or matters requiring title examination or legal interpretation to the appropriate Title Examiner or supervisor. The position also provides dependable Front Desk and general office coverage as needed and supports the overall operations of both offices. Physical and Working Requirements
  • Primarily office-based work requiring extended periods of computer and office equipment use.
  • Ability to file, retrieve, organize, and occasionally lift or move office materials. Ability to make local courier runs and other business-related trips as required. Occasional travel between the Spearfish and Rapid City offices may be required.
  • Personal vehicle use may be required for business travel; mileage will be reimbursed at the current federal rate.
Employee must maintain a valid driver's license and appropriate vehicle insurance if personal vehicle use is required. Regular attendance and punctuality are essential to the position.
