This role goes far beyond traditional administrative work. You will directly manage Accounts Payable, Accounts Receivable, Payroll coordination, HR administration and Integrator Role . This position is critical to cash flow, compliance, operational efficiency and organizational implementation . Key Responsibilities Accounts Payable (AP) Process vendor, supplier and/or subcontractor invoices Match invoices to PO's, delivery tickets, contract and project Track retention, lien waivers, and joint checks Collect W-9s, COI's and support 1099 preparation Maintain accurate AP payment logs by project/contract Provide AP payment logs & schedule to the CEO daily/weekly Accounts Receivable (AR) Prepare schedule of values (SOV) for awarded contracts Prepare and send customer invoices and G702 pay applications Track aging receivables and follow up on due invoices Manage retainage tracking and final billing packages Maintain accurate AR logs by project Provide AR logs to the CEO daily/weekly Match AR logs to projected job costing & estimates Payroll Support Coordinate construction payroll submissions Track employee hours by project and labor classification Ensure compliance with overtime, sick leave, and job costing Interface with payroll software and outside payroll providers Human Resources Administration Manage employee onboarding and offboarding Manage offer letters, I-9s, W-4s, direct deposit, acknowledgements Maintain personnel files (digital and physical) licenses and certifications Maintain drug testing (when applicable) Track employee tardiness and attendance Support disciplinary documentation and terminations (documentation only) Add new hires into Quickbooks Contract Review & Administration Review contracts, subcontracts, and change orders Flag unfavorable terms (payment terms, retainage, indemnity, insurance) Track executed agreements, insurance certificates, and bonds Maintain organized digital contract files Maintain pricing databases for labor, materials, equipment and subs Organize bid documentation and proposal files Executive Support Anticipate operational, financial, and personnel issues Communicate with vendors, clients, insurance, attorneys, and HR vendors Provide concise summaries and recommendations to the CEO Protect the CEO's time and focus Implementation as Primary Integrator Required Qualifications 5+ years experience in construction administration or construction accounting Direct experience with AP, AR, payroll, and HR administration in construction Knowledge of construction labor practices and documentation Strong understanding of construction contracts and billing High attention to detail and confidentiality (must be highly organized) Proficiency in QuickBooks and Excel Ability to work independently and manage deadlines Must Be An Integrator to The Visionary Preferred Qualifications Experience with Procore, Buildertrend, or similar CRM systems Familiarity with concrete estimating, and contract retention Familiarity with New Mexico labor and employment compliance Experience supporting HR functions in a construction environment To Apply Submit your resume and a brief cover letter explaining your experience with construction accounting, HR, contracts, organizational leadership and culture.
