Full Job Description Position Summary:
The Construction Project Coordinator oversees the defining scope, planning, implementation, tracking and completion/evaluation of projects which have a beginning, an end and specified deliverables. Must be able to reconcile construction activities and manage scope change during project and complete project within designated time frame and on budget. Construction Project Coordinator must take ownership of projects they are assigned.
Job Duties/Responsibilities:
1. Hit Target Revenue provided 2. Contacting customers for projects once the pre-construction phase is complete. 3. Customer point of contact for on-site activities 4. Responsible for overall project success - being on time and under budget 5. Responsible for managing and delegating to Project Coordinator Assistants as needed 6. During construction phase, track and coordinate materials, schedule, timelines and budget and if necessary RFI log 7. Manage sub-contractors on current projects for construction activities 8. Schedule projects with all subcontractors and customers. a. To do so, three things must be accomplished, in order: i. Design drawings must be completed and approved by client ii. Materials from vendors must have delivery date finalized iii. Confirmation in writing from the client that onsite date is acceptable 9. Coordinating with Design Department to obtain all the necessary documentation for projects during construction phase 10. Provide regular updates to Management as requested 11. Responsible for receiving and inventory of the material as the first step of construction phase. Assist with Pickups/Deliveries if required. 12. Control Job Tickets and what is in job tickets 13. Coordinating with Project Coordinator Assistants as to Field Tech availability and forecasting field techs to projects 14. Create Hot Sheets for items that need to be addressed once the main body of work is completed and there are still minor things to complete 15. Travel to jobsite or offsite coordination meetings as required with Operations Manager, Supervisor, or Foreman 16. First day of work walk the job site with field techs and Field Tech Manager or Foreman 17. Assist with Pickups/Deliveries if required 18. Other responsibilities and tasks as assigned or needed 19. Responsible for creating and submitting Change Orders/Credit Memos during construction phase: a. If client is requesting a change in scope, addition, or alternative solution b. If on site conditions are not as specified in the project's documentation i. If questions arise from any of the above, report to Operations Manager for direction ii. Change orders are to be submitted to Operations Manager for review/comment/approval 20. Update clients daily for work completed that day and anticipated completion date for the rest of the work 21. Responsible to maintain daily logs for onsite work 22. Responsible for Forecasting all projects during the weekly forecasting meeting held Tuesdays 23. Coordinating, setting up, and preparing for Weekly Huddles 24. Assist in closing of city permits - schedule final inspections with city department 25. Responsible for closeouts of the project with closeout docs completed such as test reports, As-built, OPOS, warranties, O&M, MSDS sheets, project manuals, AI reports etc. 26. Responsible for keeping project status updated on project management software 27. Responsible for sending the weekly billing to pre-construction project coordinator for ongoing projects 28. Coordinate project coordinator visits (PCV) requests from design team 29. Hold closeout documents meeting on Thursdays 30. Education and Experience High school diploma (College or Business school desirable) A minimum of 2-5 years of experience in construction project management. Direct experience in construction field operations, including site visits and supervision, is highly beneficial. Skills and Abilities Proven ability to manage multiple projects simultaneously, prioritizing tasks, and meeting deadlines. Proficiency in construction management software, scheduling tools, and project management software. Excellent written and verbal communication skills to effectively interact with clients, contractors, and team members. Ability to identify and resolve issues promptly and efficiently. Physical Requirements This is primarily a sedentary office position, which requires the ability to occasionally bend, stoop, reach, lift, move and carry supplies and materials up to 40 lbs. May also be required to physically attend off-site meetings, gather site-specific information and observations, and travel to multiple project locations. $26.00 - $32.00 per hour Application Question(s): This role is a fully in-office position that requires occasional travel to construction project sites for site visits, which may involve navigating active construction environments, climbing stairs or ladders, and walking project sites.
