This is not strictly an office project coordinator position and not strictly a sales position . We are looking for someone who understands commercial HVAC, can identify and sell project opportunities, build scopes and proposals, and then coordinate the work they sell through successful completion. The right person should be comfortable walking a jobsite, talking with building owners, property managers, general contractors, vendors, and technicians, developing a clear scope of work, pricing the project, closing the work, and then making sure the project is properly executed. Responsibilities Develop and sell commercial HVAC project opportunities, including equipment replacements, tenant improvements, retrofit work, system upgrades, controls, ductwork, and other mechanical projects. Perform job walks and evaluate project requirements. Develop detailed scopes of work and professional customer proposals. Prepare project estimates including equipment, material, labor, subcontractors, crane/rigging, controls, TAB, permits, and other project costs. Follow up on proposals and work directly with customers to close projects. Build and maintain relationships with property managers, building owners, general contractors, facility managers, and existing customers. Review plans, specifications, equipment schedules, and mechanical drawings. Coordinate equipment selections and verify model numbers, capacities, electrical requirements, accessories, lead times, and project requirements before ordering. Prepare and manage equipment and material submittals. Coordinate equipment ordering, material purchasing, deliveries, crane/rigging, subcontractors, and project scheduling. Work closely with field technicians and installers to ensure they have the correct information and materials before the project begins. Coordinate projects with customers, general contractors, building engineers, vendors, subcontractors, and internal staff. Manage RFIs, change orders, scheduling conflicts, and field conditions as they arise. Track project costs and labor to protect estimated gross profit. Identify additional work and change-order opportunities during project execution. Conduct site visits throughout the project as necessary. Maintain communication with the customer from initial proposal through project completion. Ensure completed projects are properly documented, closed out, and ready for billing. What We Are Looking For We are looking for someone who understands that selling the project is only the beginning. You should be able to look at an HVAC project and understand what it will actually take to complete the job , not simply prepare a price and hand it off to someone else. The ideal candidate has experience with: Commercial HVAC project sales HVAC estimating and proposal development Commercial HVAC equipment and system applications Package units, split systems, heat pumps, mini-splits/VRF systems, air handlers, exhaust systems, ductwork, controls, and related mechanical systems Reading mechanical plans and equipment schedules Equipment selection and ordering Tenant improvement and retrofit construction Working with general contractors and property management companies Project scheduling and field coordination Submittals, RFIs, change orders, and closeout documentation Managing labor, material, equipment, subcontractor, and project costs Microsoft Excel and general project-management software Experience with Bluebeam, Procore, Service Fusion, or similar platforms is helpful but not required. The Person We Want This position requires someone who is organized but also willing to get out of the office. You should be comfortable meeting customers, walking mechanical rooms and rooftops, working with technicians, calling vendors, reviewing equipment selections, solving project problems, and following up on proposals. We are looking for someone who: Has strong commercial HVAC knowledge Can communicate professionally with customers and field personnel Is comfortable selling and asking for the job Understands project costs and gross margin Takes ownership instead of waiting for someone else to solve problems Can manage multiple projects and proposals at the same time Pays close attention to equipment selections and project details Understands the importance of getting the scope right before work begins Can recognize additional project opportunities while working with existing customers Preferred Experience 3+ years of commercial HVAC experience in project sales, estimating, project management, or a combination of these roles is preferred. Candidates with strong commercial HVAC field experience who have moved into estimating, sales, or project management are also encouraged to apply. A mechanical engineering degree is not required . Practical commercial HVAC knowledge and the ability to successfully sell and execute projects are more important to us.
