We're looking for someone who enjoys solving problems, staying organized, and helping our project managers operate more efficiently.Position Summary:
We're seeking a highly organized Operations & Procurement Coordinator to support our Project Managers by handling the administrative and procurement tasks that keep our projects moving. This position is ideal for someone who enjoys making phone calls, researching vendors, negotiating pricing, coordinating schedules, and ensuring that every project has the resources it needs to stay on schedule. Your success will allow our Project Managers to focus on managing customers, field operations, and project execution.Responsibilities:
Vendor & Subcontractor Management:
- Research and recruit qualified subcontractors
- Verify licenses, insurance, and certifications
- Obtain competitive bids and pricing
- Maintain an organized subcontractor database
- Build relationships with new trade partners
- Coordinate subcontractor scheduling
Material Procurement:
- Source construction and restoration materials
- Compare pricing from multiple suppliers
- Place purchase orders
- Coordinate deliveries to job sites
- Track backorders and resolve supply issues
- Research alternative products when necessary
Project Coordination:
- Assist Project Managers with administrative tasks
- Coordinate inspections and deliveries
- Follow up with vendors and subcontractors
- Update project management software
- Organize project documentation
- Track purchase orders and invoices
Office Support:
- Answer vendor inquiries
- Make outbound calls
- Research products and equipment
- Obtain product specifications and safety data sheets
- Assist with special projects as assigned
Qualifications:
- Strong organizational skills
- Excellent communication skills
- Comfortable making frequent phone calls
- Strong computer skills (Microsoft Office, Google Workspace, Excel)
- Ability to manage multiple priorities
- Detail-oriented and dependable
- Problem-solving mindset Preferred (but not required):
- Construction, restoration, or procurement experience
- Experience with Xactimate, Dash, Encircle, or other construction software
- Purchasing or vendor management experience
