The Role (Read This Carefully) This is NOT a typical office manager job. We are hiring a high-level operator who can step in as a: Office Manager Business Manager Operations Leader …all in one. You will work directly with the President/Owner and play a critical role in scaling the company. This is an executive-level, hands-on position for someone who thrives in a fast-paced construction environment and knows how to take ownership. If you are looking for a passive administrative role—this is not it. What You'll Own Operations & Leadership Run and optimize daily business operations Build and improve systems, processes, and workflows Act as a central point of coordination between ownership, project managers, clients, and vendors Accounting & Financial Control Manage Accounts Receivable & Payable (invoicing, collections, vendor payments) Own financial workflows inside QuickBooks (required) Support job costing, budgeting, and financial tracking across projects Ensure accuracy, accountability, and financial visibility Sales & Client Engagement Handle inbound and outbound calls with clients and prospects Follow up on leads and support business development efforts Assist with contracts, proposals, and client communication Help drive revenue—not just support it Construction & Project Support Work within Procore for project coordination (strongly preferred — please specify your experience) Support documentation, compliance, and project workflows Assist PMs with operational and administrative needs What We're Looking For (Non-Negotiables) 5+ years in a general construction environment Strong QuickBooks experience (required) Proven experience with A/R, A/P, and construction financial workflows Experience with contracts, proposals, and construction documentation Comfortable on the phone (inbound + outbound communication) Ability to multi-task, prioritize, and execute independently Highly Preferred Experience using Procore (please include details in your application) Background in federal, state, or municipal construction projects Experience in a hybrid operations/accounting/admin role Who You Are You take ownership and don't wait for direction You are organized, detail-driven, and results-focused You understand construction—not just office work You can operate at both a strategic and hands-on level You want to grow into a key leadership role Why This Role Matters This position reports directly to the President/Owner and will play a major role in shaping the operational and financial future of BlackHorse LLC.
