Be Design Associates is seeking a full-time Assistant Project Manager (APM) to join our team for a high-end custom residential project in Lantana, Florida. This is a highly involved, field-based project management position. The APM will work full-time from the project site and serve as Be Design's primary day-to-day representative on site, working alongside the General Contractor and project team. We are looking for someone who understands construction, is highly organized, takes ownership of their work, and can be trusted to manage significant portions of the project with limited day-to-day oversight. Key Responsibilities The Assistant Project Manager will be responsible for a combination of field coordination, subcontractor procurement, project administration, and financial tracking, including: Manage the day-to-day coordination of subcontractors and vendors assigned to Be Design. Assist with and ultimately take ownership of subcontractor procurement, including soliciting proposals, leveling bids, clarifying scope, negotiating pricing, and preparing recommendations for award. Prepare and manage subcontract agreements, scopes of work, purchase orders, and related documentation. Coordinate subcontractor mobilization, scheduling, sequencing, and field activities. Maintain a strong understanding of the project drawings, specifications, design intent, and assigned trade scopes. Proactively identify construction issues, coordination conflicts, schedule concerns, incomplete work, and items requiring management attention. Work closely and professionally with the General Contractor's project management and field staff. Participate in subcontractor meetings, coordination meetings, owner/design meetings, and other project meetings as required. Track project financials for assigned scopes, including contracts, commitments, change orders, invoices, allowances, budgets, and anticipated costs. Review subcontractor invoices and payment applications against actual progress and contracted scope. Identify potential change orders and cost impacts before work proceeds whenever possible. Maintain organized records of proposals, contracts, RFIs, submittals, selections, approvals, invoices, change orders, and project correspondence. Coordinate procurement of materials and long-lead items and maintain awareness of required-on-site dates. Follow up aggressively on outstanding proposals, submittals, selections, materials, and subcontractor commitments. Perform regular field walks and verify that work is progressing in accordance with the drawings, approved selections, schedule, and expected level of quality. Document field conditions and communicate important issues clearly to project leadership. Assist with punch lists, closeout, and completion of assigned trade scopes. Escalate significant cost, schedule, quality, or coordination issues while independently handling routine project management matters. What We Are Looking For The ideal candidate is someone who is comfortable operating between the office and the field . This is not strictly an administrative APM position. We are looking for someone who can walk a project with a subcontractor in the morning, review a proposal and scope in the afternoon, update project financials, follow up on a long-lead material order, and identify a field coordination problem before it becomes a change order.
The right candidate should have:
Experience in construction project management, preferably luxury residential, or commercial construction. Working knowledge of construction sequencing, subcontractor coordination, drawings, specifications, and common building systems. Experience soliciting and reviewing subcontractor proposals. Ability to understand scopes of work and identify scope gaps. Strong organizational and documentation skills. Comfort working with project budgets, contracts, invoices, change orders, and cost tracking. Ability to read and interpret architectural and engineering drawings. Strong written and verbal communication skills. Confidence communicating directly with subcontractors, vendors, designers, consultants, and other project management personnel. Strong follow-through and the ability to keep multiple open items moving simultaneously. Good judgment regarding which issues can be handled independently and which need to be elevated. Proficiency with Microsoft Office; experience with construction management software is preferred. Work Environment This is a full-time, on-site position based at a custom residential construction project in Lantana, Florida. The APM will office from the project's jobsite trailer alongside members of the General Contractor's team and will spend significant time walking and coordinating work in the field. The position requires a professional, collaborative approach. Because multiple companies are working together to manage the project, clear communication, documentation, accountability, and respect for defined responsibilities are especially important. Preferred Experience 2-5+ years of construction experience in an APM, Project Engineer, Assistant Superintendent, Project Manager, or similar role. High-end residential construction experience is strongly preferred. Experience managing subcontractors and vendors. Experience with subcontractor bidding and procurement. Experience with construction cost tracking and project financials. Experience working directly from construction drawings and specifications. A construction management, engineering, architecture, or related degree is preferred but not required for a candidate with strong relevant construction experience .
