Job Description

Office Manager - Position Overview Our client is seeking an experienced Office Manager to oversee daily administrative operations while supporting accounting, human resources, payroll, and customer service functions. This is a key leadership position responsible for keeping the office organized, supporting employees, and ensuring efficient day-to-day business operations. The ideal candidate will have a strong background in office management within the construction industry, excellent organizational skills, and the ability to lead administrative functions while providing outstanding internal and external customer service. Primary Responsibilities Human Resources & Office Administration Coordinate day-to-day human resources activities, including onboarding, employee records, payroll support, benefits administration, and general HR functions. Create a smooth and welcoming onboarding experience for new employees. Serve as a resource for employees regarding payroll, benefits, company policies, and general administrative questions. Maintain confidential personnel records and HR documentation. Promote a professional, positive, and team-oriented office environment. Support employee engagement and retention initiatives. Administrative Leadership Supervise and support the Administrative Assistant responsible for customer service, billing, accounts receivable, and general office administration. Establish priorities, delegate responsibilities, and ensure administrative work is completed accurately and on schedule. Provide coaching, guidance, and ongoing support to administrative staff. Assist management with administrative projects and day-to-day operational needs. Help improve office procedures and administrative efficiency throughout the organization. Accounting & Financial Support Prepare and process monthly customer billing accurately and on time. Coordinate accounts payable and accounts receivable activities. Monitor outstanding receivables and assist with collection efforts. Process financial transactions and generate reports using QuickBooks. Prepare bank deposits and manage company-issued payments. Administer company credit card accounts and related documentation. Maintain organized financial and administrative records. Project & Customer Support Order office supplies and maintain administrative resources. Assist with preparing proposals and other customer-facing documents. Coordinate Certificates of Insurance and related project documentation. Provide administrative support to project managers, estimators, and field personnel. Respond to customer inquiries professionally and assist with issue resolution when needed. Support additional office and operational responsibilities as assigned. Qualifications Minimum of five years of office management experience, preferably within the construction industry. High school diploma or equivalent required; associate's or bachelor's degree preferred. Experience with human resources, payroll, employee benefits, accounts payable, accounts receivable, and customer billing. Previous supervisory experience managing administrative personnel. Proficiency with QuickBooks and Microsoft Office applications, including Word, Excel, and Outlook. Familiarity with construction accounting practices, job costing, progress billing, and Certificates of Insurance. Excellent organizational, communication, and multitasking skills. Strong attention to detail with the ability to manage multiple priorities. Professional judgment and discretion when handling confidential information. Commitment to providing exceptional customer service and supporting a collaborative team environment.
