Full Job Description Position Overview:
The Construction Coordinator provides administrative, logistical, and financial coordination support to the Construction Department, helping ensure residential build projects remain organized, properly documented, and on schedule. This role coordinates materials, permits, inspections, utility applications, vendor communication, warehouse organization, and project records while serving as a key bridge between construction operations and accounting. By supporting accurate procurement, invoice coding, cost tracking, and timely documentation, the Construction Coordinator helps maintain build momentum, budget accountability, and clear communication across Site Managers, Project Managers, vendors, municipal offices, and internal teams. Duties/Responsibilities Coordinates procurement of materials from vendors and partners, ensuring accurate ordering, cost control, and just-in-time delivery to support construction schedules. Prepares, submits, and tracks all required documentation with municipal offices, including building permits, impact/tap fees, inspections, and utility service applications (gas, electric, water, sewer, etc.). Serves as project documentation steward, organizing site plans, blueprints, specifications, change orders, inspection reports, and compliance records within the project management system. Reviews, reconciles, and codes vendor and subcontractor invoices for accuracy prior to submission to Accounting or the Construction Project Manager for approval. Monitors jobsite/warehouse inventory, ensuring donated and bulk-purchased materials are tracked, secured, and readily accessible to Site Managers. Warehouse organization Communicates proactively with Site Managers, Project Managers, and vendors to resolve material shortages, delivery delays, or scheduling conflicts before they impact the build timeline. Tracks and reports material usage and cost variances to support budget accountability and financial transparency. Supports compliance with documentation and municipal inspection requirements by ensuring all necessary paperwork is current and accessible. Ensures all permit applications and invoices are accurate to avoid project delays or financial discrepancies. Contributes to continuous process improvement to streamline construction coordination and reduce project downtime. Performs other duties as assigned.
