Project Manager Assistant A&B Mechanical Contractors is seeking a highly organized and detail-oriented Project Manager Assistant to support our commercial plumbing and HVAC project team. This position plays a key role in the financial and administrative success of our construction projects by assisting with procurement, purchasing, budgeting, billing, and project documentation. The ideal candidate enjoys working with numbers, spreadsheets, and detailed information, has excellent organizational skills, and takes pride in ensuring accuracy. This position offers flexibility in scheduling, with both part-time and full-time opportunities available for the right candidate. Primary Responsibilities Project Procurement & Purchasing Create and manage purchase orders for commercial construction projects. Assist with procurement of materials, equipment, and subcontracted services. Track material purchases from quote through invoice. Verify that pricing matches approved quotations and vendor agreements. Resolve purchasing discrepancies with vendors and project managers. Maintain organized purchasing records and documentation. Project Cost Tracking & Budget Management Monitor project costs and assist in tracking project budgets. Audit invoices and purchase orders for pricing accuracy. Identify cost variances and assist project managers in maintaining budget goals. Update spreadsheets and internal tracking systems with current project financial information. Assist with project reporting as needed. Project Billing Prepare and manage monthly owner billings using AIA billing documents. Coordinate billing information with project managers and accounting. Ensure billing documentation is accurate, complete, and submitted on schedule. Track payment status and assist with billing-related documentation. Qualifications Strong attention to detail with exceptional organizational skills. Excellent mathematical and analytical abilities. Advanced proficiency with Microsoft Excel and Microsoft Office. Comfortable working with spreadsheets, financial data, and construction documentation. Strong written and verbal communication skills. Ability to prioritize multiple projects and meet deadlines. Self-motivated with the ability to work independently. Professional, dependable, and trustworthy. Preferred Qualifications Experience in construction, commercial HVAC, plumbing, or project administration. Experience with accounting, purchasing, or bookkeeping. Familiarity with AIA billing documents.
