We are currently looking for an Administrator to join our Service Team.
Rate:
$52,000 Salary Skills & Qualifications Must be able to multi-task and keep up in a fast-paced environment, while meeting deadlines Must be professional and courteous at all times Must keep work areas clean and organized at all times Must have a valid driver's license and be able to pass background/drug test Must have at least 4 years' experience working as an administrator, preferably in the construction industry.
Service Oversight Duties:
Oversee and Manage Service work and ensure quality, clean work from crews. Ability to manage emergency calls in a timely manner. Prepare small estimates and change orders. Prepare close out documents. Monitor project status and ensure project deadlines are met. Establish and maintain job schedules. Coordinate with service crews to accomplish job scope. Coordinate with General Contractors, customers, vendors, etc. as needed on projects. Monitor labor tracking and project financial status to ensure financial health of each project. Coordinate with Operations Managers, administrators, and estimators for project hand off processes. Maintain WIP reports, attend Manpower meetings and site meetings as needed. Monitor the progress of current projects. Manage service team members to ensure the team's objectives are met. Handle customer complaints or concerns quickly and professionally to maintain good customer relationships and ensure repeat customers. Assist with or perform administrative tasks, such as managing and updating project notes, processing new work orders, and tracking job notes, materials and equipment usage. Order materials for service crews. Assist in job scheduling. Monitor department issues and client complaints to create methods to lessen recurring issues. Maintain strong relationships with manufacturers, dealers, and sales representatives. Help to train new employees in company procedures. Maintain a strong working knowledge of industry regulations, restrictions, and laws, ensuring the company's adherence to these regulations, and remaining current on the industry's standards and new innovations, materials, tools, and processes. Answering phones, receiving packages/deliveries, intercepting clients, vendors, visitors. Entering work orders and keeping track of job progress. Coordinate appointments and meetings. Work with vendors and Estimators/Project Managers to create estimates and proposals. Maintains Training database and schedule training sessions as required. Send training reminders out to team members. Submits Permit applications for approval. Submits Performance and Payment Bond Requests. Prepares Contracts for Subcontractors. Takes notes at meetings and distributes them upon completion of meetings. Ensures employees enter all time, materials, equipment, and job notes into corresponding work orders.
Proficient in Microsoft office:
Word, Excel, Power Point, Outlook. Aid in developing and streamlining policies and procedures, forms, templates, etc. Be willing to cooperate with other necessary assigned tasks. Communication Breaches communication between field, and office. Excellent written and verbal communication skills. Communicates with vendors, customers, Project Managers, and field technicians to ensure efficiency.
