Monday-Friday, 9:00 AM-5:00 PM Job type: Full-time, in-person No evenings or weekends Build a Career—Not Just an Administrative Job Anthony Smith Construction is looking for an experienced and highly organized Construction Administrative Assistant to become a key part of our growing company. This is not simply a front-desk position. You will take ownership of our customer records, CRM documentation, accounts receivable, QuickBooks transactions, insurance supplements, and appointment confirmations. The right person will be dependable, confident on the phone, comfortable working with numbers and construction documents, and capable of keeping multiple projects moving at once. This position is designed to develop into an Office Manager role as you learn our operations and demonstrate leadership. Call homeowners to confirm their interest and scheduled appointment. Verify contact information, property address, requested service, appointment time, and assigned sales representative. Explain what the homeowner should expect during the appointment. Document confirmation attempts, cancellations, reschedules, and customer comments. Notify the assigned representative and management of appointment changes, invalid leads, or duplicate records. CRM and Customer Documentation Create complete and accurate customer lead and project records. Maintain current lead statuses, assignments, notes, follow-up dates, and customer information. Upload and properly label contracts, estimates, insurance documents, photographs, measurements, invoices, and production documents. Review customer files for missing information, incomplete documentation, and outdated statuses. Follow up with team members when required documents or information are missing. Keep each customer file organized and accurate through final payment and project closeout. Take ownership of ensuring the CRM remains a reliable, real-time picture of company activity. Accounts Receivable and QuickBooks Create and send customer invoices and payment requests. Monitor outstanding balances and accounts-receivable aging. Follow up professionally with customers and insurance carriers regarding unpaid balances. Record and apply deposits, progress payments, insurance payments, and final payments. Process, categorize, and match assigned transactions in QuickBooks. Identify account discrepancies and provide supporting documentation to management. Keep leadership informed about overdue accounts and collection activity. Construction and Insurance Supplements Prepare and submit construction supplements to insurance carriers. Assemble estimates, contracts, invoices, photographs, measurements, material documentation, and other required support. Track supplements from submission through approval, denial, or final resolution. Follow up with insurance adjusters regarding review status and additional documentation requests. Document adjuster communications and keep claim information current in the CRM. Coordinate with sales and production personnel to obtain information needed to support supplements. What We're Looking For Previous administrative or office experience in the construction industry is required. Working knowledge of construction terminology, documentation, and project stages. Roofing, window, and siding experience is strongly preferred. QuickBooks or similar accounting-software experience. Accounts-receivable, invoicing, and payment-processing experience. CRM or construction project-management software experience. Insurance-restoration, property-claim, or construction-supplement experience is preferred. Strong attention to detail and excellent organizational skills. Professional and confident phone communication. Ability to manage multiple priorities and deadlines without losing track of details. Strong follow-through and willingness to take ownership of responsibilities. Comfortable communicating with homeowners, insurance adjusters, sales representatives, production staff, and company leadership. Interest in developing into a leadership position. Opportunity for Advancement This position is intended to grow into an Office Manager role . As you develop, your responsibilities may expand to include overseeing office procedures, training administrative employees, monitoring CRM compliance, preparing reports, improving workflows, and coordinating communication between sales, production, accounting, and leadership. Advancement will be based on performance, reliability, construction knowledge, judgment, leadership ability, and the ability to take ownership without constant supervision.
