Honolulu Habitat for Humanity

Construction Assistant and Coordinator

Job Description

About Us Honolulu Habitat for Humanity builds strength, stability, and independence through affordable homeownership for families across Windward and Central O'ahu. We partner with families, volunteers, and the community to build and repair homes — and to build hope alongside them. Every project we take on is a little different, which is exactly why this role exists: to keep the many moving pieces of a home build or a critical repair project organized, on schedule, and on budget. The Opportunity The Construction Assistant and Coordinator is central to how Honolulu Habitat gets homes built. This role keeps our home build and critical home repair projects on track — managing vendor relationships, coordinating permitting with our Surveyors and Architects, keeping materials and tools flowing to the job site, and tracking budgets against approved spend. You'll work side by side with our Site Supervisor, who leads day-to-day work in the field, and report to our Executive Director. It's a role built for someone who thrives on structure and follow-through, and who's just as comfortable at a vendor counter as they are managing a spreadsheet. Key Responsibilities Maintain up-to-date home build and critical home repair schedules, documenting progress, changes, and next steps. Coordinate with vendors and our Site Supervisor to schedule and confirm material deliveries for new builds. Build and expand our network of vendor relationships to ensure strong options for materials, supplies, and repair work. Manage procurement for home items and portal orders not already handled directly by the Site Supervisor, who purchases the larger home package and manages licensed subcontractors — including orders through Habitat for Humanity International's donated goods portal and sourcing other items as identified by the Site Supervisor. Confirm subcontractor and product invoices against purchase orders and completed deliveries for payment. Partner with our Surveyors and Architects to submit and track permit applications, keeping approvals moving to protect our construction timelines. Manage tools and equipment on site to ensure volunteers have what they need. Assist the Site Supervisor in developing project budgets for home builds, including estimating material, subcontractors, permit, and other project costs. Help maintain and update project budgets throughout construction, identifying cost changes and potential budget concerns as projects progress. Track build and repair expenses against approved budgets in order to provide project reports to the Executive Director, Director of Finance, and the board. Support our Critical Home Repair program in partnership with our
Family Services Manager:
scoping approved repairs, securing competitive bids, managing selected vendors, and documenting work for grant and loan compliance. Build documentation and standard operating procedures for construction and repair processes, so key knowledge isn't dependent on any one person. Complete any compliance training and certifications required by Habitat for Humanity International, and help keep our construction practices aligned with affiliate standards. Contribute wherever needed to help move Honolulu Habitat families into their home. What You'll Bring Experience in construction coordination, project administration, procurement, or a related field; residential construction experience is a plus but not required. Strong organizational skills and the ability to manage multiple schedules, vendors, and budgets simultaneously. Proficiency with Excel, Gmail, and Google Drive, along with a willingness to learn our internal tracking systems. Clear, professional communication skills for working with vendors, contractors, volunteers, and homeowners. A valid Hawai'i driver's license and reliable transportation; regular travel between build sites, repair sites, vendors, and our downtown office is required. The ability to work effectively within a dual reporting structure, taking direction from our Site Supervisor on field matters while collaborating closely with office staff.
