Full Job Description About Us Excel Restoration is a leading restoration and disaster-recovery company specializing in water mitigation, fire damage restoration, and mold remediation. We've built a strong reputation on quality work, fast response, and taking care of people on what is often one of the worst days of their lives. Most of our work comes through warm referrals from partners who already trust us — so you're not cold-calling. You're helping customers and insurance partners navigate the restoration process and move their projects toward resolution. Position Overview Excel Restoration Services is looking for a highly organized, detail-focused, and results-driven Desk Estimator to manage mitigation estimates, communicate with insurance adjusters, and help move restoration claims through the settlement process. The Desk Estimator plays a critical role in ensuring that estimates are accurate, documentation is complete, and insurance claims are submitted and settled in a timely manner. This position requires strong knowledge of Xactimate, excellent communication skills, attention to detail, and the ability to manage multiple active files while meeting established deadlines. The ideal candidate is someone who can balance speed and accuracy, communicate professionally with insurance representatives, and take ownership of files from estimate preparation through settlement. Key Responsibilities Estimate Writing and File Management Prepare Mitigation estimates using Xactimate. Review job files to ensure all required documentation, photos, paperwork, and supporting information are complete. Submit completed estimates and supporting documentation to insurance carriers and Third Party Administrators (TPAs). Maintain accurate and organized claim documentation throughout the life of each file. Review carrier responses, estimates, and documentation to identify discrepancies or additional items requiring attention. Work closely with internal team members to obtain any information or documentation needed to support the claim. Insurance Claim Settlement Communicate directly with insurance adjusters, claims handlers, and other insurance representatives regarding active mitigation claims. Follow up consistently on submitted estimates and outstanding claim items. Negotiate and work toward settlement of mitigation claims with assigned claims handlers. Maintain ownership of the file until an agreed settlement has been reached. Once settlement is reached, coordinate the transition of the file to the Accounts Receivable (AR) team for payment and final collection. Utilize office support for additional follow-up with claims representatives when appropriate. Timelines and Performance Expectations Work toward having all Mitigation losses paid within 90 days of the Certificate of Completion (COC) being signed. Submit all required Mitigation paperwork to the insurance carrier within 7 business days of equipment being removed from the jobsite. Work toward settling each Mitigation file with the assigned adjuster within 60 days of equipment pickup. Complete and submit all mitigation estimates within 14 days of the customer signing the Pre-Construction Agreement. Maintain consistent follow-up on open files to prevent claims from becoming stagnant or delayed. Prioritize accuracy and completeness while maintaining the speed necessary to meet company timelines. CAT / High-Volume Events During catastrophe events or periods of unusually high claim volume, Desk Estimators may be required to: Respond to new leads. Contact customers and assist with signing clients up for mitigation services. Support the field and office teams with increased claim volume. Assist with estimate preparation and file management as needed to keep jobs moving efficiently. Qualifications Previous experience writing restoration estimates using Xactimate required. Experience with water mitigation estimating is preferred. Understanding of insurance claims, restoration processes, and insurance terminology preferred. Strong organizational skills with the ability to manage multiple active files, deadlines, and priorities. Excellent written and verbal communication skills. Ability to communicate professionally and effectively with insurance adjusters, claims representatives, customers, and internal team members. Strong attention to detail and commitment to accurate documentation. Ability to work independently while taking ownership of assigned files. Strong follow-through and ability to consistently meet established deadlines. Ability to negotiate and communicate effectively with insurance representatives while maintaining positive professional relationships. Comfortable working in a fast-paced environment where priorities can change quickly. Willingness to assist with customer response and lead intake during CAT/high-volume events. Proficiency with Xactimate and other restoration-related software and systems. Compensation $80,000 annual salary Bonus Structure Eligible Performance Expectations The Desk Estimator position is designed to reward both speed and accuracy. Success in this role means keeping files moving, submitting complete and accurate estimates, maintaining consistent communication with insurance representatives, and reaching timely settlements. Management recognizes the hard work, attention to detail, and commitment required to work in the restoration and mitigation industry. The compensation structure is designed to reward Desk Estimators who consistently take ownership of their files and help the company collect revenue efficiently and accurately.
