Position Overview The Service Estimator is responsible for accurately scoping, pricing, and quoting service and repair generated from technician findings. Operating within the Operations department, this role serves as the critical link between field technicians and the customer — translating technical findings into clear, accurate, and timely proposals that protect margin, reflect true job cost, and accelerate conversion. The Service Estimator combines hands-on product knowledge of overhead doors, loading dock equipment, and associated components with disciplined estimating practices to ensure every quote is priced correctly, scoped completely, and delivered on time. This role plays a direct part in revenue capture, margin performance, and the customer experience by ensuring that identified work moves efficiently from technician callout to an executable quote. Responsibilities & Expectations Estimating & Quoting Review technician findings, field reports, photos, and customer requests to fully understand the scope of required work. Develop accurate, detailed estimates for service repairs and component replacements across overhead doors, dock levelers, dock seals, shelters, restraints, and related equipment. Verify part availability and validate labor requirements with operations before finalizing quotes. Ensure all quotes reflect appropriate labor hours, material costs, freight, subcontractor costs, ancillary charges, and margin targets consistent with company pricing standards. Produce clear, professional proposals with scope of work, exclusions, pricing, and terms written in customer-ready language. Deliver quotes within established turnaround time standards to maintain responsiveness and conversion velocity. Technical Scope & Accuracy Interpret technician notes, service tickets, photographs, and site observations to identify all required parts, labor, and scope elements. Identify missing information early and follow up directly with technicians, operational staff, or customers to close scope gaps before quoting. Apply product and application knowledge to ensure proposed solutions are technically sound, code-compliant where applicable, and aligned with manufacturer specifications. Flag unusual site conditions, safety considerations, or scope risks that may impact execution, cost, or timeline. Cross-Functional Collaboration Partner closely with service technicians, dispatchers, and operational leadership to validate scope and ensure estimates reflect field realities. Work with purchasing and inventory teams to confirm part availability, lead times, and cost accuracy prior to quote release. Provide post-award handoff support to operations, ensuring scope, parts, and labor expectations are clearly communicated for scheduling and execution. Communicate with customers as needed to clarify scope, answer technical questions, and resolve quote-related inquiries. Systems, Pricing Discipline & Data Integrity Enter and maintain accurate service quote, pricing, and opportunity information within NetSuite and/or the designated CRM system. Adhere to company-approved pricing structures, labor rates, and margin guidelines on all quoted work. Maintain organized records of quotes, supporting documentation, and customer correspondence for auditability and follow-up. Support pricing reviews, rate updates, and estimating tool improvements as directed by operations leadership. Customer Experience & Accountability Deliver proposals that are professional, easy to understand, and reflective of the AOHDD brand. Proactively follow up on outstanding scope questions or missing information to keep quotes moving. Support conversion efforts by responding promptly to customer inquiries on open quotes. Contribute to a culture of accuracy, accountability, and responsiveness across the estimating function. Qualifications & Experience 3+ years of estimating, service coordination, inside sales, or hands-on field experience within overhead doors, loading dock equipment, industrial service, or a closely related trade. Strong working knowledge of overhead door and dock equipment components, installation practices, and common failure modes preferred. Proficiency reading technician reports, service tickets, site photos, and basic technical specifications. Demonstrated ability to produce accurate, timely, and well-structured quotes in a high-volume environment. Experience with NetSuite, CRM platforms, or comparable estimating and quoting systems preferred. Strong organizational skills, attention to detail, and the ability to manage multiple open quotes simultaneously. Effective written and verbal communication skills, with the ability to interact professionally with technicians, internal teams, and customers. Performance Metrics Quote turnaround time from technician findings or customer request to delivered proposal. Quote accuracy — variance between estimated and actual job cost, labor hours, and margin at close-out. Quote volume and throughput relative to branch demand and backlog. Conversion rate on quoted service and repair work. Data accuracy and completeness within NetSuite / CRM. Margin performance on awarded work versus company pricing standards. Internal stakeholder feedback on quote quality, responsiveness, and scope clarity. We are seeking an energetic and detail-oriented Service Estimator to join our team.
