This role encompasses various office tasks, shipping responsibilities, processing sales transactions, utilizing QuickBooks, making calls, and placing online orders. Responsibilities:
Process sales transactions accurately and efficiently using QuickBooks Make outgoing calls to customers and vendors for various purposes. Assist with any personal tasks requested by the owner. Assist with general office duties, including filing, data entry, and document management. Routinely re-order department supplies and conduct inventory checks. Complete purchase orders for products and vendor orders for office supplies or other necessary items. Handle shipping responsibilities, including receiving, labeling, packaging, and preparing products for shipment. Sustain rapport with key accounts through effective communication and exploring specific needs. Provide information by collecting, analyzing, and summarizing data and trends. Resolve complaints by investigating issues, composing responses, and referring complex complaints to appropriate departments. Coordinate event planning and convention participation in collaboration with the Marketing Department, including assisting with event setup and management. Assist with personal tasks and errands, such as managing household affairs, coordinating personal appointments, and organizing personal events. Protect the organization's value by maintaining confidentiality. Run sales and update important records in the absence of the Office Manager.
Daily Duties:
Begin each day by checking messages, emails, and other forms of communication and prioritize tasks. Maintain the general organization calendar. Handle open tasks in the morning, including reviewing emails, voicemails, texts, iCal, and desk items. Take care of confirmations for appointments. Manage shipping and packaging, including labeling. Keep client folders updated with the latest invoices and information. Supervise office needs and serve as the front line for visitors and phone calls. Learn and implement appropriate script greetings and protocols for handling contacts and appointments. Update mail and phone directories and make them available to staff. Manage calendars, schedule and confirm appointments. Screen incoming calls, texts, and correspondence, and respond independently when possible Prepare daily feedback reports with relevant information and specific
Requirements:
Availability to work an 8 hour shift for 4 days per week. Strong attention to detail and accuracy in all tasks. Excellent organizational and time management skills. Effective communication skills, both verbal and written. Proficiency in using Microsoft Office and Mac OS. Prior experience in office administration or a similar role is preferred but not required. Proficiency in using QuickBooks or similar accounting software is preferred but not required. Familiarity with shipping processes and procedures is a plus. How to
