Description We are looking for an Executive Assistant to support senior leaders in West Palm Beach, Florida through a contract-to-permanent opportunity. This role is ideal for an experienced administrative specialist who can manage competing priorities, handle sensitive information with discretion, and keep daily operations running smoothly. The position offers a mix of executive coordination, communication support, reporting, and financial administration in a fast-paced work setting.
Responsibilities:
Coordinate complex calendars for assigned executives, including scheduling internal meetings, client discussions, and other time-sensitive appointments.
Arrange business travel and prepare detailed itineraries to ensure executives are fully organized for trips and events.
Draft and format correspondence, memos, and other routine communications with a high level of accuracy and professionalism.
Maintain tracking tools and databases to organize key information, monitor updates, and support ongoing administrative processes.
Process expense submissions and assist with billing and accounts receivable tasks to help maintain accurate financial records.
Communicate regularly with clients, leadership, and internal teams while exercising sound judgment and confidentiality.
Prepare and distribute reports, summaries, and meeting-related materials to support executive decision-making.
Provide broad administrative support across daily operations and step in on priority requests with a proactive, solutions-oriented approach. Requirements
3-5 years of administrative experience supporting multiple executives, ideally within a services environment or a similarly fast-paced setting.
Demonstrated ability to work independently, manage time effectively, and prioritize tasks with minimal supervision.
Strong verbal and written communication skills, including the ability to prepare clear business correspondence.
Strong presence and interpersonal skills suited to interacting with executives, clients, and cross-functional teams.
Proven ability to remain organized and composed while handling multiple deadlines in a high-pressure setting.
Advanced proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
Experience with calendar coordination, travel planning, expense reporting, and general executive support functions.
