With a diverse range of administrative and HR responsibilities, this role offers variety, visibility, and the opportunity to grow alongside Rhea as the restaurant establishes itself and evolves. Position Summary Rhea Restaurant is preparing for its opening and is seeking a highly organized, hands-on Executive Administrative Assistant / HR Coordinator to support the launch and ongoing operations of the restaurant. Reporting to the General Manager, this individual will provide administrative support to restaurant leadership while maintaining HR processes that support employees and operations across the restaurant. The Administrative Assistant / HR Coordinator will provide support across administrative operations and human resources, including coordinating schedules, meetings, communications, documents, and office needs; supporting operational projects and administrative processes; and coordinating employee onboarding, personnel administration, recruiting, payroll and timekeeping, and employee-related processes. The ideal candidate is detail-oriented, resourceful, responsive, and comfortable balancing administrative priorities with HR responsibilities in a fast-paced restaurant environment where priorities can change quickly. Primary Responsibilities Administrative & Operational Support Support the restaurant's pre-opening activities and ongoing administrative needs, helping ensure deadlines, tasks, and required documentation are completed accurately and on time. Provide day-to-day administrative support to the General Manager and restaurant leadership. Coordinate meetings, calendars, schedules, communications, and other administrative activities to support the smooth operation of the restaurant. Prepare, organize, maintain, and distribute documents, reports, forms, correspondence, and other business records. Maintain organized electronic and physical filing systems and ensure records and documentation are accurate, current, and accessible. Support the General Manager with operational projects, administrative processes, and special assignments as needed. Assist with ordering, tracking, and maintaining office and administrative supplies and materials. Coordinate communications with employees, management, vendors, and other business partners as directed. Assist with maintaining operational records, tracking information, preparing reports, and gathering information needed by restaurant leadership. Handle confidential information with discretion and maintain a high level of professionalism in all interactions. Human Resources Support employee onboarding and offboarding processes, ensuring required documentation and administrative steps are completed accurately and on time. Maintain accurate and confidential employee personnel records and HR documentation. Coordinate recruiting activities, including posting positions, scheduling interviews, communicating with candidates, and maintaining applicant information. Assist with background checks, I-9 and E-Verify processes, employment documentation, and other pre-employment requirements. Support payroll and timekeeping administration by assisting with employee records, timekeeping questions, corrections, and required documentation. Maintain and update HR information in the HRIS and other applicable systems. Assist with employee communications related to HR policies, procedures, and other employment matters. Support benefits administration, including employee communications, enrollment coordination, and maintaining accurate records. Assist with maintaining and administering employee policies, procedures, forms, and HR-related processes. Provide administrative support related to employee relations matters under the direction and guidance of the General Manager and Rhea's retained HR service provider , including maintaining documentation and coordinating required follow-up. Assist with compliance-related HR activities and help ensure required employment records, notices, and documentation are maintained appropriately. Respond to routine employee questions and provide guidance on established HR policies and procedures; escalate complex, sensitive, or higher-risk HR matters to the General Manager and/or Rhea's retained HR service provider , as appropriate. Support training and employee development initiatives by coordinating schedules, materials, attendance, and documentation. Maintain confidentiality and exercise sound judgment when handling sensitive employee and business information. Work closely with the General Manager, restaurant leadership, and Rhea's retained HR service provider to support consistent, professional, and positive employee experiences across the organization.   • Ability to recognize when an issue requires escalation and seek appropriate guidance from the General Manager or Rhea's retained HR service provider. Qualifications
  • High school diploma or equivalent required; additional education or HR-related training is preferred.
  • 2+ years of administrative, office management, hospitality, restaurant, or operations support experience preferred.
  • Restaurant, hospitality, food and beverage, or other fast-paced service industry experience strongly preferred.
  • Experience supporting HR functions such as onboarding, personnel records, recruiting, payroll, timekeeping, or HRIS administration preferred.
  • Proficiency with Microsoft Office, Google Workspace, and standard office technology.
  • Experience with restaurant management, scheduling, payroll, POS, accounting, inventory, or HRIS systems is a plus. Schedule Requirements
  • Flexible schedule required, particularly during the restaurant's pre-opening and initial operating period.
  • Availability to work occasional evenings, weekends, holidays, and special events based on business needs. Physical Requirements
  • Ability to sit, stand, and walk for extended periods.
  • Ability to bend, reach, twist, and move throughout the restaurant as needed to perform essential job functions.
  • Ability to navigate and work throughout all areas of the restaurant, including office, dining, kitchen, and service areas.
