Job Description

Executive Assistant The Property Center - 3.0 Edmond, OK Job Details Full-time $22 - $25 an hour 1 day ago Benefits Health insurance Dental insurance Paid time off Vision insurance Qualifications Google Workspace Executive administrative support Driver's License Attention to detail Office management Full Job Description Position Overview The Property Center is seeking a highly organized, proactive, and driven Executive Assistant to support company leadership across our real estate and property management divisions. This is an opportunity for someone who takes pride in being dependable, detail-oriented, and one step ahead to become an integral part of a growing company. This position is designed for an individual who thrives behind the scenes, keeps operations organized, and allows leadership to focus on strategic priorities, business growth, and long-term company development. The ideal candidate does not simply wait for instructions or complete tasks as assigned. They take ownership, anticipate needs, identify solutions, and consistently follow through. The Executive Assistant will work closely with leadership on a variety of administrative, operational, and organizational responsibilities. Because our company operates across multiple divisions, this individual must be comfortable managing competing priorities, adapting to changing needs, and maintaining a high standard of accuracy and professionalism. We are looking for someone who wants to build a career, not simply fill a position. For the right person, this role offers tremendous opportunity to grow within the company, take on increased responsibility, and develop alongside the business. Key Responsibilities Executive & Leadership Support Provide direct administrative and organizational support to company leadership. Proactively manage calendars, schedule meetings, coordinate appointments, and help ensure leadership's time is used effectively. Prepare meeting agendas, organize materials, document action items, and follow up to ensure commitments are completed. Manage email correspondence, draft professional communications, and assist with prioritizing incoming requests as directed. Anticipate leadership's needs, identify potential issues before they become problems, and take initiative to resolve matters independently when appropriate. Handle confidential company information with discretion and professionalism. Help leadership stay organized, prepared, and focused on high-priority initiatives. Administrative & Operational Support Assist with day-to-day operations across the real estate and property management divisions. Coordinate projects, track deadlines, maintain task lists, and ensure responsibilities are completed on time. Create, organize, and maintain digital files, records, reports, and company documentation. Assist with preparing presentations, spreadsheets, reports, correspondence, and other business materials. Help develop and maintain internal procedures, checklists, and organizational systems that improve efficiency. Identify recurring administrative challenges and recommend practical ways to streamline processes. Provide reliable support on special projects and other priorities assigned by leadership. Real Estate & Property Management Support Provide administrative support to property management staff, real estate agents, and brokers as needed. Assist with organizing real estate transaction files, tracking contract deadlines, and coordinating documentation. Help coordinate property-related projects, communications, and administrative follow-up. Assist with preparing owner communications, leasing materials, reports, and other documents. Help ensure information is accurate, organized, and communicated to the appropriate people. Step in to support different departments when needed to keep operations moving smoothly. Communication & Follow-Through Serve as a reliable point of coordination between leadership, employees, clients, vendors, and business partners. Communicate clearly, professionally, and promptly through email, phone, and other company communication platforms. Track outstanding requests and follow up with the appropriate individuals until matters are resolved. Maintain accurate records of decisions, assignments, deadlines, and next steps. Take responsibility for assigned tasks from beginning to completion rather than relying on repeated reminders. Recognize when an issue can be handled independently and when leadership needs to be involved. Qualifications Exceptional organizational skills and attention to detail. Strong written and verbal communication skills. Demonstrated ability to manage multiple priorities, meet deadlines, and follow through consistently. Ability to work independently, exercise sound judgment, and take initiative without constant supervision. Strong problem-solving skills and a willingness to find answers rather than wait for direction. Professionalism, discretion, and the ability to handle confidential information. Proficiency in Microsoft Office and/or Google Workspace, including email, calendars, spreadsheets, and document management. Comfort learning new software, systems, and company processes. Ability to adapt to changing priorities in a growing, fast-paced business. Valid driver's license and reliable transportation. Previous executive assistant, administrative coordination, project coordination, or office operations experience is preferred. Experience in real estate or property management is a plus, but it is not required.
