Executive Assistant The QTI Group - 3.7 Madison, WI Job Details $70,000 - $75,000 a year 17 hours ago Qualifications Confidential information handling Business travel arrangements Executive administrative support Collaboration with board members Managing executive calendars Board relations Full Job Description Summary The QTI Group has partnered with a confidential nonprofit organization in search of an Executive Assistant to support its Chief Executive Officer. This highly visible role will serve as a trusted partner to the CEO, providing executive-level administrative, organizational, and Board support within a mission-driven organization. This is an excellent opportunity for a polished and proactive professional who thrives in a fast-paced environment, enjoys supporting executive leadership, and takes pride in keeping priorities, people, and processes moving forward.
Location:
Waukesha, WI (Fully Onsite); occasional travel within greater Milwaukee area
Compensation:
$70,000 - $75,000 annually, based on experience
Responsibilities:
Provide high-level support to the CEO, including complex calendar management, travel coordination, correspondence, meeting preparation, and follow-up activities. Anticipate executive needs, proactively identify priorities, and ensure timely follow-up on key initiatives and commitments. Track deadlines, action items, and organizational priorities to support successful execution and accountability. Coordinate Board of Directors activities, including agendas, meeting materials, governance documents, minutes, and communications. Attend Board meetings and prepare accurate meeting minutes and follow-up documentation. Support executive leadership meetings, special projects, and organizational initiatives. Maintain confidential records, governance documents, and executive files in an organized and secure manner. Serve as a professional liaison between executive leadership, Board members, employees, and external partners. Coordinate meetings and events involving executive leadership, Board members, and external stakeholders. Utilize Microsoft 365 and related technology to manage schedules, communications, presentations, and documentation. Support occasional Board meetings and executive activities outside of traditional business hours as needed.
Qualifications:
3+ years of Executive Assistant experience, preferably to a CEO, President, or C-suite executive. Experience managing complex calendars, travel arrangements, and executive-level priorities. Experience supporting leadership teams or Boards of Directors. Exceptional organizational skills and attention to detail. Strong interpersonal and communication skills. Demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced environment. Proven ability to maintain confidentiality and exercise sound judgment. Ability to work independently, anticipate needs, and take initiative. Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams.
Preferred:
Board governance and meeting support experience. Associate's or Bachelor's degree in Business, Communications, Healthcare Administration, or a related field. Experience working within healthcare, senior living, nonprofit, or other mission-driven organizations. #MMAS
