We are a dynamic and expanding ophthalmology and optometry practice with multiple locations, including our well-established office in Troy, Alabama. We are currently seeking a dedicated and experienced Office Manager to lead our Troy team.
Job Overview:
As the Office Manager, you will help ensure the smooth operation of this location by overseeing daily office functions and supporting patient flow. This is a hands-on leadership role, ideal for someone who enjoys fostering a positive, cooperative, and high-performance work environment.
Key Responsibilities:
Conduct daily staff coaching to create an environment of excellence for our patients. Foster a professional environment where staff can grow and thrive through continuous learning. Oversee employees and delegate duties to optimize staff efficiency. Address behavioral issues as needed. Supervise Screeners, Scribes, Optical Staff, and Receptionists regularly scheduled at the location. Efficiently schedule employees and monitor attendance. Communicate with other managers to ensure workflow consistency for staff floating between offices. Monitor insurance and patient claims for billing and coding accuracy. Conduct regular staff meetings to communicate policy changes and updates. Familiarize yourself with the duties of technical and receptionist staff and fill in when necessary to maintain patient workflow. Perform regular performance reviews and recommend raises, promotions, or disciplinary actions. Ensure compliance with practice policies, procedures, and HIPAA regulations. Attend manager meetings to address on-site or policy issues. Maintain office operations by coordinating with the Regional Director for minor repairs, maintenance, and overall appearance. Be situationally aware of patient flow and take corrective action to ensure efficient practice operations. Periodically monitor the office environment and security safeguards.
Qualifications:
Proven leadership and communication skills. Ability to work both independently and as part of a collaborative team. Strong organizational and multitasking skills in a fast-paced environment. Ability to implement policies and mentor staff effectively. Familiarity with medical or optical office management, billing, and coding procedures. Ability to create a cooperative and positive atmosphere. Excellent computer skills and attention to detail.
Requirements:
Two to three years of experience managing a medical, optical, or ophthalmology office is strongly preferred. Familiarity with medical software, scheduling, insurance processing, and collections is preferred. Experience working in an optometric or ophthalmology practice is a plus. Must be a positive, self-motivated leader who enjoys managing a dynamic team. Join Our Team!
