The Church Office Administrator is the primary point of contact in the church office during public office hours and helps keep the practical details of church life organized and moving forward.
WHAT YOU WILL DO
Answer the church phone, greet visitors, receive deliveries, and pass along messages. Maintain the church calendar and schedule rooms and building use. Help with routine office correspondence, forms, files, and membership records. Print, fold, and prepare worship bulletins and inserts after receiving print-ready files. Keep office supplies, paper, toner, forms, and other routine materials stocked. Coordinate routine communication with custodial staff, building hosts, and event staff. Help communicate room setup, building access, and event logistics. Receive building-use paperwork and fees and route them according to church procedures. Receive invoices and paperwork and route them to the appropriate person for approval and bookkeeping. Assist with Session and committee materials as needed. Keep vendor, service, and office contact information organized. Coordinate routine office equipment service and communicate larger building concerns to the appropriate church leader.
WHAT THIS POSITION DOES NOT INCLUDE
Bookkeeping, payroll, bank reconciliation, contribution records, and financial reporting are handled separately. The primary creation of the weekly bulletin, newsletter, church email, website updates, and publicity materials is also handled by the church's Communications Coordinator.
WHAT WE ARE LOOKING FOR
Friendly and welcoming with members, visitors, volunteers, and community groups. Dependable and organized. Comfortable using email, calendars, Microsoft Word, and normal office equipment. Able to learn church-specific software and procedures. Good attention to detail. Comfortable handling confidential or sensitive information appropriately. Able to work independently while also communicating well with staff and volunteers. Willing to ask questions when something is unclear. Previous church, nonprofit, or office experience is helpful but not required. We are especially interested in finding someone who enjoys helping people, keeping details organized, and making sure the day-to-day office runs smoothly.
