Job Description

The Law Office of Jacob Binnall, PLLC (Advogado Binnall) is a growing immigration and civil rights law firm serving the Brazilian and immigrant community across MetroWest Massachusetts. We are opening a new office in Framingham and need a dependable, highly organized Office Administrator to run daily operations and be the welcoming first point of contact for our clients. Fluent English and Portuguese are required. Spanish is a strong plus. What you'll do: You keep the office running and you are the person clients count on, from their first phone call through every step of their case. Day to day, that means: You are the firm's first impression. Welcome clients in person and answer calls, emails, and WhatsApp messages with warmth and professionalism. You run intake and scheduling. Respond to new leads quickly, keep them organized in our case system, book consultations, send reminders and meeting links, and prepare engagement letters from firm templates. You handle client billing. Answer payment questions, take payments through LawPay, send invoices and payment links, and keep track of what is outstanding. You keep everything organized. Collect and file client documents, keep records accurate and current, and protect confidential client information. You run the office itself. Manage mail, supplies, vendors, and equipment, and work closely with the legal team, passing any legal questions or urgent matters to the attorney. What we're looking for: Fluent in Portuguese and English, with Spanish a plus Experience running an office or in administration, reception, or customer service (a legal or professional office is a plus) Organized and reliable, able to take ownership and solve problems on your own Pro-active, able to take initiative and not wait to be reminded Comfortable handling client billing and payment questions, and quick to pick up software like Docketwise, Google Workspace, and LawPay Authorized to work in the United States We're open to hiring one full-time person (40 hours) or two part-time people (20 hours each), Monday through Friday during business hours.
