About General Surveillance General Surveillance Security Systems is a family-owned Metro Detroit security company that has served homes and businesses since 1983. We install and service intrusion alarms, video surveillance, access control, and commercial fire-alarm systems. We are a small, established team where communication, reliability, and follow-through matter. The Opportunity We are hiring an experienced Office Manager to take ownership of our daily office workflow and help keep customers, technicians, schedules, paperwork, and follow-ups organized. This is not simply a receptionist or data-entry position. The right person will begin by learning and managing our core office processes, then take on broader operational responsibility as they demonstrate sound judgment, leadership, and a strong understanding of the business. Our goal is to develop this person into an Operations Manager who can help coordinate the company's day-to-day work and improve how we operate. This role is best suited to someone who is dependable, comfortable making decisions, calm when priorities change, and willing to follow an issue through until it is resolved. Key Responsibilities Answer incoming calls and emails and provide professional, helpful customer service. Schedule service calls, installations, inspections, and site visits while keeping customers and technicians informed. Coordinate technicians' daily schedules, job details, access information, and follow-up needs. Create and maintain accurate customer, site, monitoring, and service records. Process routine account changes, including new monitored accounts, updates, and cancellations, according to company procedures. Track open work orders, estimates, customer decisions, parts needs, return visits, and unresolved issues. Prepare service documentation, work-order closeouts, billing information, purchase records, and other office paperwork. Assist with invoicing, payment follow-up, accounts receivable, payroll information, and vendor documentation. Coordinate subcontractor work orders and use customer or partner portals to receive, update, and close assigned work. Maintain organized electronic and paper records for permits, licenses, insurance, employee files, customer documents, and company procedures. Use and help maintain our internal operations software, Microsoft 365 applications, and other web-based systems. Identify recurring problems, improve office procedures, and document repeatable processes. Support management with staffing coordination, purchasing, reporting, customer escalations, and other operational priorities. What Success Looks Like During the first several months, success means learning our systems, communicating reliably, keeping schedules and records accurate, and making sure important tasks do not fall through the cracks. As the role develops, the successful employee will begin taking greater ownership of workflow planning, technician coordination, vendor and subcontractor relationships, staff accountability, process improvement, and routine operational decisions. Advancement in title, responsibility, and compensation will be based on performance, demonstrated capability, and the needs of the business. Required Qualifications At least three years of experience in office administration, service coordination, customer service, dispatch, or a similar role. Demonstrated ability to organize multiple active jobs, deadlines, and follow-ups. Strong written and verbal communication skills. Professional and confident phone manner, including the ability to handle customer concerns calmly. Strong attention to detail and accurate recordkeeping. Working knowledge of Microsoft Outlook, Word, and Excel, with the ability to learn new software quickly. Good judgment and the ability to determine what is urgent, what can wait, and when management needs to be involved. Consistent attendance, dependability, discretion, and follow-through. Ability to work on-site in St. Clair Shores during regular weekday business hours. Ability to successfully complete a pre-employment background check due to the sensitive nature of the security industry. Preferred Qualifications Experience with a security, fire-alarm, electrical, HVAC, construction, property-service, or other field-service company. Experience scheduling or dispatching technicians. Experience with invoicing, accounts receivable, payroll support, purchasing, or vendor coordination. Experience using CRM, field-service, accounting, payroll, or work-order portal software. Previous experience supervising employees or improving office procedures. A college degree is not required.
