ASAP Office Administrator - Accounting, Purchasing & Sales Support Are you a detail-oriented, dependable professional who enjoys wearing multiple hats and being an important part of a small, close-knit team? We're looking for an Office Administrator to join a growing manufacturing company where you'll play a key role in keeping daily operations organized and running smoothly. This position is ideal for someone with experience in accounts receivable, accounts payable, purchasing, and sales support who understands the importance of accuracy, follow-through, and excellent customer service. You'll work closely with the team to manage purchasing activities, support customers and sales, handle accounting responsibilities, and help wherever needed. No two days may look exactly the same , so being flexible and willing to jump in on other duties is essential. What You'll Do Manage Accounts Receivable (AR) and Accounts Payable (AP) responsibilities. Handle purchasing activities, including obtaining pricing, placing orders, tracking purchases, and maintaining accurate records. Support the sales team with component pricing, availability, orders, and customer requests . Use QuickBooks to manage receipts, invoices, purchasing, sales orders, quotes, and other financial transactions. Communicate professionally with customers through phone and email, responding to questions and providing timely follow-up. Manage a high volume of emails and customer requests while staying organized and detail-focused. Confirm orders and provide customers with updates regarding delivery schedules. Process recurring orders accurately and efficiently. Work with vendors and suppliers as needed to obtain information, pricing, and availability. Provide administrative support to company leadership and the office team. Monitor office supplies and coordinate purchasing when needed. Maintain accurate documentation and records. Assist with other office, purchasing, accounting, sales, or administrative duties as they arise. Be willing to jump in and help wherever needed to support the team and keep operations moving. What We're Looking For The ideal candidate is someone who is organized, accountable, professional, and takes pride in their work . We're looking for: Strong experience with Accounts Receivable, Accounts Payable, and Purchasing . QuickBooks experience, preferably QuickBooks Manufacturing . Strong purchasing experience within a manufacturing environment . Excellent attention to detail and accuracy. Strong written and verbal communication skills. Excellent follow-through and customer service skills. A strong work ethic and dependable attendance. Ability to manage multiple priorities and stay organized in a busy environment. Professional, polished, and customer-focused communication. Someone who is willing to learn and cross-train in different areas. A team player who is willing to take on additional duties as they arise . Manufacturing Experience Is a Big Plus Experience working in a manufacturing environment from a purchasing perspective is highly desirable. Experience with job shops, contract manufacturing, or the electronics industry would be especially valuable. Understanding how components, purchasing, availability, pricing, customer orders, and production needs work together will help you succeed in this role. Why This Opportunity?
