High School Secretary

Job Description

Job Summary Hamilton High School is seeking a dedicated and organized individual to join our team as an office secretary. The ideal candidate will play a vital role in ensuring the smooth operation of the school's administrative functions. This position requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment. The secretary will serve as the first point of contact for students, parents, and staff, contributing to a positive school atmosphere. Responsibilities
  • Support front office operations, including answering phones, greeting visitors, and responding to inquiries in a professional manner.
  • Assist in the maintenance of accurate student records, including attendance, grades, and enrollment information.
  • Assist in coordinating school events, meetings, and schedules for faculty and administration.
  • Prepare and distribute communications, including newsletters, announcements, and reports.
  • Handle confidential information with discretion and maintain the privacy of student and staff records.
  • Support the principal and other administrative staff with various clerical tasks as needed.
  • Manage school correspondence and maintain existing filing systems for easy access to documents.
  • Provide support to students and parents, addressing concerns and directing them to appropriate resources. Requirements
  • High school diploma or equivalent; additional education or training in office administration is a plus.
  • Proven experience as a secretary or in a similar administrative role, preferably in an educational setting.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Excellent verbal and written communication skills.
  • Ability to work collaboratively with staff, students, and parents in a diverse school environment.
  • Strong attention to detail and problem-solving abilities.
  • Familiarity with school policies and procedures is preferred.
  • Ability to maintain confidentiality and handle sensitive information.
  • Flexibility to adapt to changing priorities and work demands.
  • Ability to pass a fingerprint-based background check per school board policy.
