Job Summary Hamilton High School is seeking a dedicated and organized individual to join our team as an office secretary. The ideal candidate will play a vital role in ensuring the smooth operation of the school's administrative functions. This position requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment. The secretary will serve as the first point of contact for students, parents, and staff, contributing to a positive school atmosphere. Responsibilities
Support front office operations, including answering phones, greeting visitors, and responding to inquiries in a professional manner.
Assist in the maintenance of accurate student records, including attendance, grades, and enrollment information.
Assist in coordinating school events, meetings, and schedules for faculty and administration.
Prepare and distribute communications, including newsletters, announcements, and reports.
Handle confidential information with discretion and maintain the privacy of student and staff records.
Support the principal and other administrative staff with various clerical tasks as needed.
Manage school correspondence and maintain existing filing systems for easy access to documents.
Provide support to students and parents, addressing concerns and directing them to appropriate resources. Requirements
High school diploma or equivalent; additional education or training in office administration is a plus.
Proven experience as a secretary or in a similar administrative role, preferably in an educational setting.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
Strong organizational skills with the ability to prioritize tasks and meet deadlines.
Excellent verbal and written communication skills.
Ability to work collaboratively with staff, students, and parents in a diverse school environment.
Strong attention to detail and problem-solving abilities.
Familiarity with school policies and procedures is preferred.
Ability to maintain confidentiality and handle sensitive information.
Flexibility to adapt to changing priorities and work demands.
Ability to pass a fingerprint-based background check per school board policy.
