Our centers in Flushing and Middle Village provide a nurturing environment tailored to meet the unique needs of children with special needs, supporting their development and empowering their families. Job Overview We are seeking a proactive and organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring smooth office management, effective communication, and efficient data handling. Your enthusiasm and attention to detail will help create a welcoming environment for staff, families, and visitors alike. Responsibilities
Scheduling interview/tour appointments for prospective staff and students
Purchase, distribute and maintain inventory of school supplies
Maintain staff attendance procedures and coordinate coverage for absentee staff
Maintain Student Daily Attendance database including gathering daily attendance statistics, contacting parents, entering data into SAR database and notifying teachers of the outcome
To play an important role in the functioning of Positive Beginnings
Submit updated Medical as required
Collect, track and update student information and input data into Excel spreadsheet for both school sites
Create, maintain and update student roster on the CMR
Develop student and staff annual calendar for SED/DOE
Collect, review and maintain student's attendance cards biannually
Gather and input date for SEDCAR I, II and PD6 for both sites
Generate student roster for purposes of NPSP annually
Maintain list of 1:1 students/staff and submit to DOE monthly
Distribute completed first-attend forms to appropriate districts
Maintain spreadsheet of evaluations conducted and applied payments. Reconcile discrepancies with DOE as they arise.
Filing, faxing, typing, copying, data entry and perform such other clerical duties to assist the accountant maintain the office
Coordinate cap and gown purchases for all graduates
Coordinate intake of all new students including Setting up initial files, generating PAL's, T2P's and RDNA's as needed, creating admit forms for all students, distributing educational packets to relevant staff and securing and maintain student medical and immunization records
Liaison with bus company to initiate bussing for all students
Printing and maintaining parent welcome packets, fire drill logbook, child-specific allowances and other such tasks as may be assigned by principal
Working with the DOE staff on turning-five activities including scheduling student observation/testing/EPC's as well as giving providing evaluation documents to evaluation staff
Creating Barcode Labels for all students to facilitate scanning process
