Our clinics provide psychiatric medication management, Transcranial Magnetic Stimulation (TMS), Spravato® (esketamine), ADHD evaluations, and other behavioral health services. We believe every interaction matters. Whether welcoming someone into the clinic, helping coordinate a prescription request, or supporting a patient through treatment, our goal is for every patient to feel understood, helped, and reassured. The Opportunity We are looking for an exceptionally reliable, adaptable, and patient-focused Medical Assistant to serve as a Floating MA and Front Office Coordinator for our Utah clinics. Your home clinic will be Pleasant Grove , but this position is designed to provide additional support where our patients and teams need it most. At times, you may be asked to provide coverage at our Clearfield, Sandy, or Taylorsville clinics . Some days you'll support the front office. Other days you may assist a provider, administer TMS treatments, monitor Spravato patients, or help another clinic that needs additional coverage. What You'll DoPatient & Clinical Support Welcome patients and help create a positive, compassionate experience. Check patients in and prepare them for appointments. Obtain and document vital signs. Assist psychiatric providers with patient-care needs. Respond to appropriate patient questions and route clinical questions to the appropriate provider. Assist with prescription and refill request workflows. Upload and maintain accurate information in patient charts. Support medical-record and other clinical workflows. TMS & Spravato Support Training will be provided as appropriate to help you support our interventional psychiatry programs.
Responsibilities may include:
Assisting with TMS mappings. Administering TMS treatments according to established protocols. Preparing patients and treatment areas. Supporting and monitoring patients receiving Spravato treatment. Obtaining and documenting required vital signs and observations. Completing required treatment documentation. Following established safety, escalation, and compliance procedures. Collaborating closely with providers throughout treatment. Front Office & Administrative Support Check patients in and out. Schedule and reschedule appointments. Answer phones and respond to emails and patient messages. Assist patients with forms and registration. Maintain accurate patient demographic and chart information. Support provider schedules and daily patient flow. Help ensure important patient requests are routed and addressed promptly. Collaborate with scheduling, billing, prior authorization, providers, MAs, and other support teams. Floating Clinic Coverage Pleasant Grove will be your primary/home location. When coverage is needed, you may be asked to work at: Clearfield Sandy Taylorsville Because the purpose of this position is to help us respond quickly when another clinic needs support, reliability and flexibility are essential. The ideal person can receive a change in assignment, adjust quickly, and walk into another Whole Mind clinic ready to help the team and take care of patients. Mileage reimbursement will be provided for eligible required travel to other clinic locations in accordance with company policy. Schedule & Availability This is a full-time position . Candidates must have flexibility to be scheduled within the following operating windows:
Monday-Thursday:
7:00 AM-7:00
PM Friday:
7:00 AM-5:00
PM Saturday:
8:00 AM-1:00 PM These are availability windows and do not represent the number of hours an employee will work each day or week. Actual schedules will be established based on clinic and patient-care needs. Because this is a floating position, flexibility regarding location and schedule is an important part of the role. Qualifications Required:
High school diploma or equivalent. Medical Assistant training, certification, or relevant healthcare experience. Strong patient-service and interpersonal skills. Excellent reliability and attendance. Strong organizational and communication skills. Comfortable using computers and electronic health records. Reliable transportation and ability to travel between designated Utah clinics when needed. Ability to meet the scheduling flexibility required for this position.
Preferred:
Experience in psychiatry, behavioral health, neurology, or another outpatient healthcare setting. Front-office or patient-scheduling experience. Experience with electronic health records. Experience with TMS and/or Spravato is a plus, but we are willing to train the right candidate. Why Join Whole Mind? Pay:

Do you have reliable transportation and are you comfortable traveling between these locations when needed? This full-time position requires flexibility to work within our operating hours: Monday-Thursday 7 AM-7 PM, Friday 7 AM-5 PM, and occasional Saturdays 8 AM-1 PM. Are there any days or times within these hours that you are regularly unavailable? Reliability is extremely important in this role because providers and patients may depend on you for clinic coverage. Please briefly describe your attendance and reliability in your most recent position. Please briefly describe your Medical Assistant or other healthcare experience, including any experience with patient intake, vital signs, scheduling, prescription requests, or electronic health records. This position combines clinical MA responsibilities with front-office duties such as checking patients in, scheduling, answering phones, and responding to patient messages. Are you comfortable regularly performing both? Have you worked with TMS, Spravato/esketamine, psychiatry, or behavioral health before? If so, please briefly describe your experience.
