We're looking for a Patient Care Coordinator who brings warmth, organization, and a service-first mindset to every interaction. Position Overview The Patient Experience Coordinator at Nichols Orthodontics + Aesthetics is a position that blends front office responsibilities and light clinical support — perfect for someone who enjoys staying organized but also loves interacting with patients. You'll report to our Patient Experience Lead and work closely with the whole team. If you're proactive, detail-oriented, and take pride in creating great patient experiences, you'll do wonderfully here. Key Responsibilities Scheduling & Appointment Management Welcome patients and families with warmth, professionalism, and enthusiasm Create a five-star experience from check-in through check-out Answer phones and respond promptly and professionally to incoming web inquiries Communicate with patients through phone, text, and email Schedule new patient consultations, aesthetic appointments, and ongoing treatment visits Confirm appointments and help maintain an efficient, well-paced schedule Maintain accurate patient records and information within our practice management systems Maintain patient confidentiality and follow HIPAA requirements Insurance & Financial Support Verify patient benefits through Dental Butler Confirm insurance coverage and benefit details Obtain necessary authorizations to support seamless treatment progression Assist patients with understanding their insurance benefits and financial responsibilities Help answer billing and insurance-related questions in partnership with our Insurance Coordinator Lab & Appliance Management Submit lab cases to the appropriate laboratories Check in and organize incoming lab cases Prepare lab cases according to the upcoming patient schedule Communicate with laboratories regarding delivery dates, appliances, and case needs Ensure lab cases are accurate and ready ahead of scheduled appointments Qualifications and Skills Ideally 2+ years of dental or orthodontic front office experience Comfortable with orthodontic software (Wave Ortho is a plus!) Good understanding of dental/orthodontic insurance Great communication skills — friendly, clear, and professional A positive, team-oriented attitude
