Whole Health Veterinary Care is seeking applications for a Veterinary Administrative Professional/Receptionist as we improve & expand our practice to better serve our local community. This Full-Time position will range from $15.50 to $21.00 per hour depending on experience. This position is best suited to an experienced veterinary administrative professional who is already familiar with the pace, workflow, terminology, and client-service demands within a busy veterinary practice.

Veterinary Administrative Professional/Receptionist Responsibilities:
- Serves visitors by greeting, welcoming, and directing them appropriately.
- Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
- Notifies the practice team of client/visitor arrival and performing check-in tasks.
- Answering telephone calls and returning e-mails with professional communication skills.
- Scheduling appointments using our designated software within guidelines set by office protocol for availability based on need/service required.
- Understanding these details and using critical thinking is of the utmost importance.
- Informing the veterinarian on a call of any emergencies or instances of possible animal abuse/neglect that require urgent attention.
- Issuing invoices for treatment and prescribed medication after each consultation.
- Receiving and verifying payments after each consultation.
- Supports continuity within the practice team by documenting and communicating actions, irregularities, and continuing needs.
- Monitor and managing of administrative & janitorial supplies.
Coordinating with Office Manager to place orders as needed.
Position Requirements:
- Minimum 3 years of administrative experience, with veterinary practice experience strongly preferred.
- Candidates with substantial experience in the veterinary field are especially encouraged to apply.
- Prior experience with veterinary medical billing software is highly valued, with hands-on experience using Covetrus Pulse considered a significant advantage.
- Intermediate computer proficiency and competent Microsoft Office skills.
- Ability to maintain confidentiality and handle sensitive client and patient information appropriately.
- Excellent organizational, time management, and multitasking abilities while maintaining a strong commitment to accuracy.
- Communicates with empathy, professionalism, and confidence, particularly during stressful or emotionally difficult interactions.
- Ability to work shifts, in the evening, on weekends, and on public holidays, as needed.
The Right Candidate:

The successful candidate will be comfortable working in a medical environment, communicating confidently with clients about patient care and financial matters, recognizing when a situation requires immediate attention, and maintaining accuracy and professionalism when the hospital is busy or emotionally demanding.
