Job Description

Carolina Psychological Associates, PA is a mental health private practice with offices in Greensboro, Durham, and Chapel Hill, North Carolina. Our team of licensed clinicians provides psychological assessment and therapy services in a supportive, client-centered environment. We're looking for a warm, organized, and detail-oriented Front Desk Receptionist to serve as the first point of contact for our clients and visitors. Position Summary The Front Desk Receptionist is the welcoming face and voice of our practice. This role is responsible for greeting clients, managing check-in/check-out at the front window, coordinating scheduling, handling phone and email inquiries, and supporting the administrative flow of a busy mental health office. Because our clients may be navigating sensitive or stressful circumstances, this role requires exceptional discretion, patience, and a calm, compassionate demeanor at all times. Key Responsibilities Greet clients and visitors warmly upon arrival and manage front window check-in and check-out Answer, screen, and route incoming phone calls; respond to email and portal messages promptly and professionally Schedule, confirm, and reschedule client appointments in SimplePractice EHR Collect and process co-pays, self-pay fees, and other payments at time of service Verify insurance information and assist with basic benefits/eligibility checks Maintain client confidentiality in accordance with HIPAA and practice policy at all times Manage new client intake paperwork and ensure required forms are complete prior to appointments Monitor the waiting area to ensure a calm, tidy, and welcoming environment Coordinate with clinicians regarding schedule changes, cancellations, and no-shows Maintain office supplies and coordinate with vendors as needed Handle incoming and outgoing mail and deliveries Support other administrative and clerical tasks as assigned Qualifications High school diploma or equivalent required; associate degree or relevant coursework a plus Prior experience in a medical or mental health office setting strongly preferred Experience with EHR/practice management systems (SimplePractice experience a plus) Excellent interpersonal and phone communication skills Strong organizational skills and attention to detail Ability to maintain strict confidentiality regarding client information (HIPAA compliance) Comfortable managing multiple tasks and a busy front desk environment Proficiency with basic office software (Microsoft Office) Reliable, punctual, and professional demeanor What We Offer Competitive hourly wage, commensurate with experience Paid time off (PTO) Short-term and long-term disability coverage Life insurance policy 401(k) with employer contribution A supportive, mission-driven team environment Opportunities for growth within the practice Carolina Psychological Associates, PA is an equal opportunity employer. Pay:
$15.00 - $18.00 per hour Expected hours: 40.0 per week
