The Center Receptionist/Classroom Aide provides a high level of service to the Center Director, Head Start Director, and other Center Staff. The position is responsible for providing administrative and clerical support on a daily basis to the center team and Center Director. This position also coordinates all clerical/secretarial services throughout the center while maintaining adequate phone and front door coverage. The Center Receptionist/Classroom Aide over sees and manages all office procedures and other tasks as assigned, such as scheduling appointments, giving information to callers, taking dictation, and otherwise relieving director of clerical work and minor administrative and business detail by performing the following duties. Education and Experience:
High School Diploma. An interest in working with young children. Valid NYS driver's license. Ability to be contacted.

include the following. Other duties may be assigned. 1. Maintains confidentiality in all aspects of client, staff, children and families, and agency information. 2. Make phone calls to parents of children that are returned to the center. 3. Keep updated emergency information for each child in the program. 4. Work independently and within a team on special and ongoing projects. 5. Routes incoming mail to the Center Director. 6. Composes and types routine correspondence. 7. Maintains office calendar to coordinate work flow and meetings. 8. Create and develop visual presentations, type and design general correspondence, memos, charts, tables, graphs, business plans, etc. 9. Ensure all forms needed for program operation are updated and available. 10. Organizes and maintains file system, and files correspondence and other records. 11. Interacts with parents, children, staff, interns, volunteers and visitors. 12. Answers and screens telephone calls, and arranges conference calls. Take messages and screen calls when necessary. 13. Greet scheduled visitors and conducts to appropriate area or person. 14. Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings. 15. Attend meetings as requested to record minutes. 16. Makes copies of correspondence or other printed materials. 17. Prepares outgoing mail and correspondence, forms, including e-mail and faxes. 18. Orders and maintains supplies, and arranges for equipment maintenance. 19. Keep maintenance book logged and updated. 20. Responsible for entering, tracking, and monitoring In-Kind. 21. Ensure accurate and timely data collection from all areas of Head Start. 22. Abides by the Standards of Conduct. 23. Assists in ensuring the agency meets all federal, state, and local regulations. 24. Works within a team to plan and administer a comprehensive program of services. 25. Demonstrates a work ethic that recognizes and supports persons of varying socio-economic, ethic, cultural, and educational backgrounds. 26. Interacts and communicates effectively with co-workers, customers, and community members in a professional and respectful manner. 27. Immediately follows policies/procedures for reporting child abuse/maltreatment by reporting to the New York State Central Registry and appropriate administrative staff. 28. Maintains confidentiality of information regarding children, families, staff, and program issues. 29. Follows procedure for "calling in" due to illness. 30. Participates in required meetings and trainings and shares information with colleagues as needed. 31. Drives/rides in an agency vehicle and transports families as necessary. 32. Participates in recruitment events. 33. Additional kitchen duties, including, but not limited to washing dishes, preparing meals, delivering food to classrooms, and grocery shopping. Required Skills/Abilities 1. Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy. 2. Must have the ability to interact and communicate with individuals at all levels of the organization. 3. Must work well with staff and clients from various socioeconomic backgrounds. 4. Work requires continual attention to detail in composing, typing, and proof-reading materials, establishing priorities and meeting deadlines. Must have the ability to work in a fast-paced environment with demonstrated ability to juggle multiple and competing tasks and demands. 5. Knowledge of Head Start philosophy and regulations helpful 6. Maintain a safe and healthy environment in the classroom. 7. Assists in all classroom activities as needed, including working with individual children, as well as large and small groups of children. 8. Assists with the preparation of materials and other necessary duties to ensure the orderly operation of the daily program. 9. Supports in maintaining control of the classroom by implementing clear, reasonable, consistent, and age-appropriate rules/expectations for children. 10. Supports and models positive child development practices, including appropriate tone of voice, speaking to children at eye level, and continuously scanning the room for safety. 11. Supports developmental needs of children and encourages their independence. 12. Uses positive guidance and redirection to help children with challenging behaviors. 13. Communicates with parents/guardians, community members, and co-workers in an appropriate and professional manner at all times. 14.
