In this role, you will take total ownership of processing, notarizing, and submitting vehicle title and registration paperwork for new, used, and wholesale vehicle transactions across primarily Pennsylvania (PA) and New Jersey (NJ) , though we also process deals throughout the "tri-state" area to include Delaware (DE), New York (NY) and others throughout the US. The ideal candidate has direct used car dealership experience, excels under tight deadlines, and can legally issue temporary credentials, run driver's license and title abstracts, and transfer registration plates seamlessly. Because the title clerk serves as the vital link between sales transactions and business operations, intercompany communication is of utmost importance in this position to ensure fast deal funding, accurate accounting, and a seamless customer experience.
Key Dealership Responsibilities Intercompany & Cross-Department Synergy:
Partner closely with Sales, F&I, and Accounting to minimize processing delays, resolve discrepancies, flag missing documents immediately and ensure deals moving efficiently. Communicate and document movements clearly within DMS systems & intercompany messages to ensure transparency and effective communication is aligned and maintained.
Deal Processing & Notarization:
Review legal transfer documents and execute all required state motor vehicle forms as a commissioned notary public.
PennDOT Issuing Agent Tasks:
Legally transfer registration plates, issue temporary cards, and process temporary registration plates (T-plates) or in-transit tags via PennDOT approved workflows.
Multi-State DMV Submission:
Package and submit registrations to PA PennDOT, NJ MVC, and other state systems, or utilize messenger services efficiently to ensure quick turnaround times.
Deal Jacket Audits:
Verify retail and finance deal packets from Sales and Finance (F&I) for accurate state-specific tax calculations, proper signatures, and compliance.
Lien Payoffs & Problem Solving:
Coordinate with financial institutions to handle trade-in lien payoffs, track title releases, and research skipped titles or administrative roadblocks with state agencies.
Inventory Management:
Maintain neatly organized digital and physical deal jackets and vehicle inventory logs. Take ownership of past records and build out a clean, organized and compliant records department. Qualifications & Requirements Certifications (Mandatory): Active, valid Pennsylvania Notary Public Commission . Proven PennDOT Authorized Agent status with complete, up-to-date agent training.
Preferred Certifications:
Having an active, valid New Jersey Notary Public Commission is a strong plus.
Experience:
Minimum of 1-3 years of proven experience as an Automotive Title Clerk in a dealership setting.
State Expertise:
Direct, hands-on experience handling both PA and NJ motor vehicle titles is strictly required.
Communication Skills:
Exceptional verbal and written communication skills; a proven ability to collaborate transparently across multiple departments to eliminate bottlenecks.
Dealership Software:
Proficiency with dealership management software is required. Experience with Dealertrack, Dealr.

Cloud, AdPro, or DealerCenter is highly preferred.
