Job Description

$21-$24/hour | Full-Time | Benefits | PTO | 401(k) Match Wolverine Lawn Services is looking for an organized, dependable Operations & Scheduling Specialist to help keep our day-to-day operations running smoothly. This position works closely with our customers, field crews, managers, and branch leadership to coordinate schedules, maintain work orders, support invoicing and accounts receivable, and make sure information gets where it needs to go. If you're someone who can keep track of a lot of moving pieces, communicate well, and solve problems as they come up, this could be a great fit. What You'll Do Scheduling & Operations Build and maintain daily, weekly, and seasonal schedules for lawn maintenance, fertilization, irrigation, and landscape crews. Coordinate routes and schedules to improve efficiency and reduce unnecessary drive time. Make schedule adjustments due to weather, staffing, customer requests, and changing priorities. Monitor daily production and work with operations managers when crews or resources need to be reassigned. Track service completion, outstanding work, and scheduling backlogs. Support seasonal startup and shutdown scheduling. Customer & Team Communication Answer incoming customer calls and assist with service questions, scheduling, and general requests. Communicate upcoming services, delays, and schedule changes to customers. Handle rescheduling requests and coordinate changes with field teams. Serve as a communication link between customers, field crews, operations managers, and branch leadership. Route questions or concerns to the appropriate team member when needed. Work Orders & Administrative Support Maintain accurate work orders, schedules, routes, and customer information within company systems. Review and process customer contracts and renewals. Distribute contracts, receive completed agreements, and transition approved work into the work order system. Support invoicing by posting completed work and preparing invoices for distribution. Assist with accounts receivable by receiving and posting customer payments. Generate scheduling, production, and completion reports. Assist with general office and administrative responsibilities as needed. What We're Looking For Strong organization and time-management skills. Ability to manage multiple priorities in a fast-paced environment. Strong verbal and written communication skills. Comfortable communicating with both customers and field employees. Experience with Microsoft Outlook, Excel, Teams, and other business software. Strong attention to detail and ability to maintain accurate information. Ability to problem-solve and adjust quickly when schedules or priorities change. Dependable and able to work both independently and as part of a team. Preferred Experience Previous scheduling, dispatching, operations coordination, or customer service experience. Experience in lawn care, landscaping, irrigation, snow removal, or another field-service industry. Experience working with CRM, work order, scheduling, or route management software. Understanding of routing, crew scheduling, and field production. Spanish language proficiency is a plus.
