We are seeking an experienced and highly organized Supervisor of Medical Operations to help oversee the day-to-day operations of our medical practice in Delray Beach. This is an excellent opportunity for a strong healthcare operations professional who enjoys leading employees, solving problems, improving processes, and ensuring that a busy medical practice operates at a high level. The ideal candidate is a hands-on leader who takes ownership, holds employees accountable, communicates effectively, and does not wait for senior management to identify or solve routine operational issues. Position Summary The Supervisor of Medical Operations is responsible for supporting and overseeing the daily operational activities of the medical practice, with a primary focus on staff supervision, patient flow, scheduling, operational efficiency, employee performance, and execution of established policies and procedures . This individual will work closely with office managers, supervisors, clinical leadership, providers, and senior management to ensure that operational expectations are consistently met. The successful candidate should be comfortable managing multiple priorities, addressing employee and patient issues, identifying operational problems, and following issues through to resolution. This position requires someone who is willing to be highly visible within the practice and actively engaged with employees and operations rather than managing solely from an office. Key Responsibilities Daily Medical Operations Assist in overseeing the daily operations of the medical practice. Ensure departments are appropriately staffed and prepared for daily patient volume. Monitor patient flow, appointment schedules, wait times, and operational bottlenecks. Identify operational problems and take appropriate action to resolve them. Ensure established workflows, policies, and procedures are consistently followed. Coordinate operational needs between front-office, clinical, administrative, and provider teams. Conduct regular walkthroughs of the practice to identify issues before they become larger problems. Escalate significant operational concerns to senior management when appropriate. Staff Supervision & Accountability Provide day-to-day direction and support to office managers, supervisors, and staff. Establish clear expectations and hold employees accountable for performance and professionalism. Monitor employee attendance, punctuality, productivity, and adherence to established procedures. Address performance and behavioral concerns promptly and professionally. Assist with employee coaching, corrective action, and performance improvement plans in coordination with Human Resources and leadership. Help create a culture of accountability, teamwork, responsiveness, and excellent patient service. Ensure managers and employees follow through on assigned responsibilities. Patient Experience Promote a consistently professional and patient-focused environment. Monitor patient service issues and ensure complaints are addressed promptly. Identify recurring patient experience problems and recommend operational improvements. Work with staff to improve communication, responsiveness, scheduling, and overall patient satisfaction. Ensure employees maintain appropriate standards of professionalism when interacting with patients. Scheduling & Staffing Monitor staffing levels based on patient volume and operational needs. Assist management with employee scheduling and coverage issues. Identify staffing shortages and coordinate solutions before they negatively affect operations. Monitor overtime and unnecessary staffing expenses. Work with management to improve productivity and appropriate allocation of personnel. Performance & Operational Metrics Monitor key operational performance indicators, including patient volume, scheduling utilization, wait times, staffing levels, attendance, productivity, and patient service issues. Assist leadership in identifying trends and areas requiring improvement. Follow up with managers and employees on corrective action plans and operational initiatives. Help ensure that operational goals established by senior management are implemented at the practice level. Process Improvement Continuously evaluate workflows and identify opportunities to improve efficiency. Help eliminate unnecessary processes, duplication of work, and operational bottlenecks. Recommend practical solutions to recurring operational problems. Assist with implementing new systems, policies, procedures, and technology. Ensure operational changes are communicated effectively and implemented consistently. Compliance & Practice Standards Help ensure operations comply with organizational policies and applicable healthcare requirements. Support HIPAA, OSHA, patient privacy, safety, and other compliance initiatives. Ensure appropriate documentation and escalation of incidents and operational concerns. Maintain a clean, organized, professional, and patient-ready environment. Qualifications Required Minimum 3-5 years of healthcare or medical practice operations experience. Prior experience supervising employees in a medical office, physician practice, outpatient clinic, or similar healthcare environment. Demonstrated ability to manage staff and hold employees accountable. Strong organizational and problem-solving skills. Ability to manage multiple priorities in a fast-paced healthcare environment. Strong written and verbal communication skills. Professional demeanor and ability to interact effectively with physicians, providers, managers, employees, and patients. Working knowledge of medical office operations, scheduling, patient flow, and administrative workflows. Strong computer skills and experience working with electronic health records and practice-management systems. Preferred Experience working in a multi-provider medical practice. Experience supervising multiple departments or operational functions. Experience with primary care and/or multispecialty medical practices. Experience with Medicare Advantage populations is a plus. Associate's or bachelor's degree in healthcare administration, business administration, management, or a related field is preferred but not required for a candidate with significant relevant experience.
