Applicants:
We are business owners and logistics experts, not accountants. Our books currently need significant structural catch-up, reconciliation, and repair work. We are seeking a fearless, highly experienced, self-managed financial professional who can confidently step in on Day 1, assess the current state of our data, and methodically lead the clean-up and reorganization process. You will not be micromanaged; you will be expected to establish and run your daily workflows completely independently.

We have the work volume to support a great full-time career (with a highly desirable 4-day work week), but for the right overqualified candidate, we are also open to a flexible part-time schedule (15-25 hours/week). You will work closely with our existing on-site Inventory & Support Specialist, handling the logistical and digital management of our systems while they assist with day-to-day physical stock and sales support.
Key Responsibilities Financial Clean-up & Accounting Oversight:
Methodically audit, clean up, and reconcile our historical accounts payable and financial data. Establish clean, accurate, and repeatable accounting workflows moving forward.
Accounts Payable & Bill Management:
Independently oversee vendor invoices, reconcile statements, track cash flow timing, and ensure all business bills are paid accurately and perfectly on time.
Inventory System Management:
Own the data inside our inventory system (Lightspeed). Generate and manage Purchase Orders (POs), track shipments/freight from international vendors, and systematically "receive" inventory into the system once delivered.
Payroll & Employee Administration:
Manage employee hours, track time-off requests, and process regular payroll accurately inside our payroll platform (Gusto). Assist with onboarding paperwork for new hires and maintain organized, confidential employee records.
Logistics & Document Control:
Cross-reference POs, physical packing slips, and vendor invoices to ensure pricing and quantities match perfectly before payments are released.
Customer Service Leadership:
Evaluate our current customer service workflows, identify areas for improvement, and implement strategies to deliver an elite, high-touch service experience to our parts clients. Qualifications & Skills Required High Level of Autonomy & Problem Solving (Required): A proven track record of stepping into unorganized financial environments and successfully cleaning up historical books without needing hand-holding or constant oversight.
Full-Charge Bookkeeping/AP Expertise:
Advanced, independent understanding of accounts payable processes, financial reconciliation, ledger repair, and document matching.
Inventory System Experience:
Proven experience managing inventory, POs, and supply chains within an ERP, POS, or dedicated inventory management system (e.g., QuickBooks Enterprise, Lightspeed, Fishbowl, NetSuite, Shopify, or similar). Direct Lightspeed experience is a plus, but not required—a systems-savvy person can easily adapt.
Payroll System Exposure:
Experience processing payroll or managing employee hours in software like Gusto, QuickBooks Payroll, ADP, or similar. Must respect strict data privacy.
International Logistics Exposure:
Comfortable tracking freight, communicating with global vendors, and monitoring international shipments through the shipping/customs pipeline.
