Job Description

Overview Position Summary We are seeking an organized, detail-oriented Operations & Administrative Coordinator to manage on-site front-office operations, member records, and collections support. This role serves as our primary frontline contact and provides administrative assistance to leadership, legal counsel, and county offices.
Key Responsibilities Front-Desk Operations & Inquiries:
Greet office walk-ins and field member calls regarding general questions, permits, and assessment balances.
Payment Processing:
Securely receive member payments made in person, over the phone.
Physical Mailings:
Prepare large-scale member notices, statements, and demand mailings on-site (printing, folding, stuffing, and metering).
Member Records & Deeds:
Verify ownership changes via county databases, update digital member profiles, and maintain hard-copy deed files in on-site property cabinets.
Permit Administration:
Process boat and member registrations, verify proof of ownership/insurance, issue physical decals from inventory, and stage packets for member pickup.
Collections Support:
Execute standard collections SOPs for delinquent accounts, generate demand letters, track payment plans, and log all member communications.
Administrative & Legal Liaison:
Partner with the CFO and GM on escalated accounts, compile records for legal counsel/lien filings, and pull public records from Linn and Bourbon county offices as needed.
Qualifications & Requirements Accuracy & Organization:
Strong attention to detail with data entry, record-keeping, and handling confidential financial information.
Customer Service:
Professional verbal and written communication skills for frontline member assistance.
Process Adherence:
Demonstrated ability to follow multi-step operating procedures and compliance checklists reliably.
Technical Skills:
Proficiency in Microsoft Office (Word, Excel) and database software; comfort researching county property records is preferred.
On-Site Availability:
Reliable attendance on-site during scheduled office hours, with reliable transportation for occasional trips to local county courthouses.
Pay:
$15.00 - $18.00 per hour Expected hours: 25.0 - 30.0 per week
