The Administrative and Property Operations Coordinator provides administrative and operational support across multiple areas of The Claussen Group, including airport operations, managed properties, and general corporate operations. This position serves as a primary point of contact for assigned properties and airport-related administrative functions while coordinating vendors, scheduling services, maintaining records, supporting meetings, and assisting company leadership with day-to-day operational needs. This position requires someone who can independently manage multiple priorities, communicate professionally with customers, clients, vendors, employees, and leadership and, and identify and resolve routine operational issues without requiring continuous direction.
Duties and Responsibilities:
Serve as a primary administrative contact and coordination for airport-related questions and for Gold Circle and Wynstone business. Coordinate arrangements for hangar rentals, including inquiries, availability, documentation, and communication with clients and provide information for incoming flights. Manage and monitor aviation fuel inventory/quantities and communicate replenishment needs as needed. Maintain airport and property-related records, schedules, contact information, service records, property documentation and all other applicable records. Receive and appropriately route general airport telephone calls and inquires. Coordinate with company leadership regarding airport operational issues requiring additional attention. Conduct routine property checks and communicate maintenance, appearance, safety, or service concerns to appropriate personnel and coordinate outside vendors and contractors for maintenance. repairs, inspections and other property needs. Receive and respond to routine property-related questions, concerns and service requests. Follow up with vendors and internal personnel to ensure assigned work is completed Track open property issues and follow through to resolution. Communicate professionally with property owners, residents, board members, vendors and company leadership. Provide administrative support to the COO, Operation's Manager and other members of leadership as assigned. Coordinate outgoing shipments and prepare packages for shipment. Coordinate return of parts, equipment, and other company materials. Receive deliveries at the shop and ensure materials are routed to the appropriate employee or department. Assist with purchasing, ordering, and tracking routine operational supplies. All other duties as assigned.
Requirements:
High school diploma or equivalent required; associate degree or additional business/administrative education preferred. 3 or more years of administrative, property-management, office-management, operations, customer-service, or similar experience preferred. Strong organizational and time-management skills with the ability to manage multiple priorities. Strong written and verbal communication skills. Demonstrated ability to work independently and exercise sound judgment. Professional customer service skills and ability to handle difficult or sensitive situations appropriately. Experience in budgeting, financial management, and reporting. Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint), email, electronic recordkeeping, and general office technology.
Pay:
$23.00 - $25.00 per hour Expected hours: 40.0 per week
