About Our Home Delivery & Retail Program:
Our meat delivery business is a rapidly growing cornerstone of our farm. We fulfill and deliver an average of 1,000 meat packages per week. This volume is achieved through a combination of our internal home delivery program— completed by our own dedicated fleet of drivers—and regional shipping to areas of Massachusetts and the East Coast not covered by our local routes. Alongside our delivery operations, our retail channels provide an essential connection point for our local community. Role Overview We are seeking a highly organized, deeply experienced Office Manager to oversee our meat delivery business. In this position, you will manage a team of two direct reports and lead our shipping operations by organizing delivery data, managing third-party shipping platforms, and solving carrier issues to ensure orders get out the door on time. Off the shipping floor, you will serve as the primary voice of our company by overseeing customer service channels and managing relationships with our wholesale clients. Additionally, you will anchor our business operations by managing bi-weekly payroll, onboarding new team members, and keeping our financial records—including invoices, receipts, and supply orders—perfectly organized. The ideal candidate is a highly organized, tech-savvy problem solver who can easily jump from spreadsheet logistics to employee care without missing a beat.
Key Responsibilities Shipping Logistics & Delivery Management Lead Shipping Operations:
Oversee the entire process for shipping orders from start to finish.
Data & Label Generation:
Work directly in spreadsheets to organize data and generate order labels.
Manage Shipping Platforms:
Utilize third-party shipping software to process orders and track packages.
Resolve Delivery Issues:
Step in to settle missing packages, delays, or damage claims with carriers.
Schedule Pickups:
Coordinate directly with transit providers to schedule timely order pickups.
Customer Service & Communication Oversee Support Channels:
Manage all primary customer service communications. Respond to
Inquiries:
Support the team who handles incoming phone calls and emails from customers with with efficency and professionalism.
Solve Customer Complaints:
Fix delivery mix-ups, product issues, or scheduling conflicts.
Wholesale Accounts & Financial Record Keeping Manage Wholesale Accounts:
Handle all invoicing and detailed record-keeping for bulk clients.
Organize Financial Documents:
Maintain organized, easy-to-find records of receipts and invoices.
Process Bills:
Review, track, and pay invoices for incoming supplies and operational costs.
Inventory & Supply Ordering Order Packaging Materials:
Monitor and/or oversee the purchase of boxes, tape, labels, and protective wrap.
Stock Packinghouse Supplies:
Ensure the packing facility always has the necessary tools and gear.
Track Stock Levels:
Prevent shortages by monitoring material use against upcoming delivery schedules.
Team Leadership, HR & Admin Compliance People Leadership:
Directly manage and support two direct reports, guiding their daily workflows and fostering a collaborative office environment.
Manage Payroll:
Oversee and process employee hours for bi-weekly payroll runs.
Onboard New Hires:
Handle all new employee onboarding paperwork and compliance forms.
Manage Benefits & Team Culture:
Lead the setup and ongoing management of the company

Secure Employee Paperwork:
Maintain confidential and organized records of all staff documents.
Required Skills & Qualifications Experience:
2 to 3+ years of experience as an office manager, administrative lead, or logistics coordinator, including direct experience managing staff.
Spreadsheet Proficiency:
Advanced skills in Microsoft Excel or Google Sheets (ability to manage data, sort lists, and create shipping labels).
Billing & Invoicing:
Experience with managing wholesale accounts and tracking receipts.
Organization:
Strong organizational habits with a proven ability to keep physical and digital paperwork orderly.
Communication:
Clear verbal and written communication skills for managing customer service calls and emails.
Problem-Solving:
A calm, solution-oriented mindset to quickly resolve carrier delivery issues and customer complaints. Schedule The standard work week for this position is Monday through Friday, 8:00 AM to 5:00 PM.
