POSITION SUMMARY
The Account Coordinator serves as the primary liaison between assigned clients and the operational facility, managing day-to-day client communication, order coordination, issue resolution, and service needs. This role works closely with facility leadership to ensure orders are processed accurately and timely, client expectations are met, and issues are proactively communicated and resolved.
REPORTING RELATIONSHIPS
Reports directly to the Director of Client Services and works closely with:
Facility Manager:
Align client priorities with site operations and ensure timely resolution of order and service issues.
Onsite Operations Teams:
Coordinate order execution and support accurate, on-time fulfillment.
ESSENTIAL DUTIES & RESPONSIBILITIES
Client Relationship Management Serve as the primary contact for assigned clients and respond to requests professionally and promptly. Build strong client relationships through regular communication and proactive updates. Manage service recovery communications and confirm resolution of client concerns. Order Management Review orders for completeness and accuracy and coordinate requests with the appropriate facility. Track order status and communicate confirmations, changes, delays, and delivery updates. Document client instructions, order details, and related communications to ensure accurate fulfillment and traceability. Issue Resolution & Escalation Investigate and coordinate resolution of discrepancies, delivery concerns, and documentation requests. Escalate time-sensitive or high-impact issues to the Director of Client Services with clear summaries and recommended next steps. Coordinate corrective actions with the facility and maintain accurate issue tracking through resolution. Documentation & Service Coordination Maintain accurate account records, contacts, service requirements, and communication history. Utilize CRM, order management, shared inboxes, and other tracking tools to manage requests and follow-up. Prepare client-facing updates, summaries, and basic reports as needed. Maintain confidentiality and documentation standards appropriate for healthcare logistics and medical distribution.
FACILITY SUPPORT / COVERAGE DURING FACILITY MANAGER ABSENCE
Assist with daily warehouse operations and ensure adherence to company SOPs. Assist in coordinating warehouse staff and the accurate and timely picking, packing, and shipping of orders. Support compliance with FDA, cGMP, OSHA, and other applicable requirements. Assist with facility, security, maintenance, and general site operations as needed.
CROSS-FUNCTIONAL INTERFACES
Director of Client Services:
Provide timely escalations, issue summaries, and client updates.
Operational Facility:
Coordinate order reviews, priority changes, and issue resolution to ensure client commitments align with site execution.
EDUCATION & EXPERIENCE
Required:
High school diploma or equivalent. Customer service, account coordination, logistics, distribution, or order management experience. Ability to manage multiple requests while maintaining accurate documentation and follow-through.
Preferred:
Associate's or Bachelor's degree in Business, Supply Chain, Logistics, Healthcare Administration, or related field. Experience in healthcare distribution, medical device, pharmaceutical, or regulated supply chain environments. Experience with OMS, WMS, ERP, or similar operational systems.
CERTIFICATIONS & SKILLS
Required:
Strong client-facing communication and organizational skills. Proficiency with CRM, order management, and shared inbox tools. Detail-oriented and process-driven approach with the ability to manage shifting priorities.
Preferred:
Familiarity with SLA-driven customer service environments. Experience with Salesforce, HubSpot, SAP, NetSuite, Manhattan, or similar systems. Basic understanding of logistics concepts including lead times, backorders, substitutions, and proof of delivery.
SUCCESS FACTORS
Consistent and accurate order and service coordination. Timely client communication and follow-through. Accurate documentation and issue tracking. Effective escalation and closed-loop resolution. Clear and complete communication with facility operations.
PHYSICAL DEMANDS
Ability to perform computer- and phone-based work for the majority of the workday. Ability to remain stationary for extended periods with intermittent movement. Ability to communicate effectively by phone, email, and messaging platforms.
Pay:
$50,000.00 - $60,000.00 per year
