Job Description

Job Overview We are seeking an organized, customer-focused Tour Department Associate to join our team on-site, on a full-time basis. In this multi-faceted role, you will serve as a primary point of contact for our travelers—answering questions, processing tour bookings, and managing Florida car transport logistics. Beyond daily customer care and operations, you will contribute creative ideas to help market and sell upcoming tours.
Key Responsibilities Customer Support & Reservations:
Handle heavy inbound phone volumes to answer inquiries, guide travelers, resolve issues, and process bookings.
Vehicle Transport Management:
Coordinate our seasonal Florida car transport service: issuing customer confirmations, handling schedule updates, and liaising directly with car carrier companies to ensure smooth vehicle pickup and delivery.
Seating & Event Logistics:
Accurately assign and manage seating arrangements for bus travel and theatre performances.
System & Data Management:
Maintain up-to-date tour listings, transport schedules, customer records, and itineraries using OpenCart and the TBN system.
Sales Collaboration:
Participate in brainstorming sessions and assist with fresh strategies to market and sell tours and transport services.
Administrative Support:
Execute accurate data entry, invoicing/confirmation mailings, and routine administrative duties to keep department operations seamless.
Qualifications & Skills Customer Service & Communication:
Proven background in customer service with experience managing heavy inbound phone volumes in a helpful, professional, and patient demeanor.
Logistics & Vendor Coordination:
Experience coordinating logistics, issuing confirmations, and liaising with third-party vendors or transport carriers.
Systems & Reservation Proficiency:
Experience with reservation systems and e-commerce platforms (experience with OpenCart and/or TBN is a strong plus).
Detail-Oriented & Organized:
Exceptional organizational skills and sharp attention to detail required for scheduling, seat assignments, and data management.
Creative & Growth-Minded:
A creative mindset with an interest in contributing to tour marketing, sales strategies, and department growth.
Education & Experience:
High school diploma or equivalent (prior customer service, travel industry, or logistics experience strongly preferred).
